Are you a proactive, organized, and detail-oriented individual looking to join a dynamic team
Viva Naturals is seeking an Admin Assistant to provide comprehensive support to our
management team. As the right hand to our executives, you'll play a crucial role in ensuring
smooth operations and effective communication within the company.
Responsibilities:
- Provide administrative and clerical support, including document preparation, and
- scheduling.
- Assist with tasks such as appointment booking, research, and household coordination.
- Maintain confidentiality and professionalism in all interactions and tasks.
- Coordinate travel arrangements, including flights, accommodations, and transportation,
- for executives and other team members.
- Prepare and distribute meeting agendas, minutes, and other materials as needed.
- Act as a liaison between executives and internal/external stakeholders, ensuring clear
- communication and timely responses.
- Conduct research and compile data to support decision-making processes.
- Assist in project management tasks, such as tracking deadlines, coordinating meetings,
- and managing project documentation.
- Anticipate the needs of executives and proactively address any issues or challenges that
- may arise.
- Assist with budget preparation and financial reporting as needed.
Requirements:
- Bachelor's degree or equivalent experience in a relevant field.
- Minimum of 3 years of experience in administrative or executive support roles.
- Strong proficiency in technology, including Asana, Google Drive, Microsoft Office Suite,
- and other relevant software.
- Excellent organizational skills with the ability to manage multiple tasks and priorities
- simultaneously.
- Exceptional communication skills, both written and verbal, with a high level of
- professionalism.
- Ability to work independently and take initiative, with a proactive and solution-oriented
- mindset.
- Experience in personal management tasks, including appointment scheduling, travel
- coordination, and household management, is preferred.
- Strong attention to detail and accuracy in all tasks.
- Proficiency in bookkeeping software and familiarity with accounting principles.
- Proficiency or Experience in Oracle NetSuite would be an advantage.
