Salary Range: $865.00 to $1,211.00 per month

You'll help streamline daily operations, from client communication to project coordinationmaking a real impact from behind the scenes.
What You'll Do:
- Manage multiple email inboxes related to pre- and post-project communication.
- Input and organize data related to contracts, payments, project timelines, and editing status.
- Prepare and send out customized email templates and proposals, ensuring accuracy and attention to detail.
- Oversee photo and video project workflows, including gallery and Vimeo link prep, deadline tracking, and editor coordination.
- Track incoming leads, manage follow-ups, and ensure proper classification and prioritization of inquiries.
- Support calendar and event management by preparing and updating job sheets, schedules, and logistics.
- Occasionally assist with light bookkeeping tasks, including data preparation and syncing for the external bookkeeper.
- Ensure delivery timelines are met for photo and video galleries, including sending final products and verifying functionality.
Who You'll Work With:
Collaborate directly with the owner of the business and a supportive returning team member (currently on maternity leave) to ensure seamless operational execution. You'll become a key player on a small, tight-knit team passionate about client service and visual storytelling.
Who We're Looking For:
- Organized and detail-oriented: Able to manage complex workflows and multi-tab spreadsheets while maintaining accuracy in client data, templates, and communicationsavoiding careless errors like placeholder text or wrong links.
- Independent: Can self-manage daily workflows, determine task priority, and take full ownership of responsibilities without constant oversight.
- Adaptable: Capable of balancing multiple streams of communication such as calls and email.
- Proactive communicator: Speaks fluent English with minimal accent and communicates clearly with internal team and clients. Takes initiative, asks the right questions, and builds their own workflow when guidance is minimal.
- Experience: Experience in bookkeeping is a plus, but not necessary.
