Zoho One Implementation Analyst (ERP Migration Project) – Full-time / Part-time
ABOUT PHILCARE PHARMA, INC.
Philcare Pharma, Inc. (PPI) is a Filipino-owned specialty pharmaceutical and medical device distribution company headquartered in Santolan, Pasig City. We specialize in hospital-based injectable formulations across four commercial divisions — Anti-Infectives/Anesthesia & Pain (AIAP), Critical Care (PRESSON), Cardiovascular (Main Line), and Device & Wound Care.
PPI is entering an intensive organizational-scaling phase anchored by an enterprise-wide migration to Zoho One.
THE OPPORTUNITY
We are looking for an experienced Zoho One Implementation Analyst to serve as PPI's internal counterpart to our appointed Zoho implementation vendor for the 12-week core migration and the subsequent stabilization and hyper-care period. You will be the bridge between our business owners (Sales, Supply Chain, Finance, Medical Affairs, HR) and the vendor's technical team — translating processes, enforcing scope, validating configurations, and ensuring that the system we go live with genuinely reflects how PPI operates in Philippine pharma distribution.
This is a hands-on build-and-govern role, not a pure project-management seat. You will configure, test, document, and train — and you will push back on the vendor when configurations drift from agreed designs. The ideal candidate has migrated at least one mid-sized organization onto Zoho One end-to-end and can move fluently across Zoho CRM, Books, Inventory, Creator, Analytics, and People.

• Custom builds required: Zoho Creator apps for FDA Philippines license/permit tracking, BIR-compliant tax management, and pharmaceutical batch/lot/expiry tracking.
• Integration footprint: Plat force CRM/CLM (already under SOW), Zoho Sign for contract workflows, payroll/HRIS, and e-invoicing.
• Implementation timeline: 12-week core migration plus a 90-day stabilization and hyper-care window (total engagement 12 months).
KEY RESPONSIBILITIES
1. Requirements & Design Governance
• Partner with functional leads across Sales, Finance, Supply Chain, Medical Affairs, and HR to capture business requirements and translate them into Zoho configuration specifications.
• Validate vendor-produced Functional Design Documents (FDDs) against PPI's mapped processes and raise formal Change Requests where scope creep, gaps, or deviations are identified.
• Maintain the single source of truth for the configuration backlog, RAID log, and decision register throughout the project.
2. Hands-On Configuration & Build
• Configure Zoho CRM modules, pipelines, custom fields, blueprints, workflow rules, approval processes, and role-based security to match PPI's 8-zone, go-to-market structure.
• Build Zoho Creator applications as required.
• Configure Zoho Books chart of accounts, tax groups (VAT, expanded withholding tax), inventory valuation, and BIR-compliant invoice and official receipt templates.
• Configure Zoho Inventory for multi-warehouse tracking, batch/serial control, reorder logic, and integration with customer (hospitals) portals as needed.
• Build Zoho Analytics dashboards for sales performance, collections, inventory aging, MSL/Medical Affairs activity, and executive reporting.
3. Data Migration
• Own data-migration work stream deliverables: source-to-target field mapping, extract-transform-loadbspecifications, cleansing rules, reconciliation reports, and sign-off packs for each entity (customers, vendors, items, open POs, open AR/AP, GL balances, inventory snapshots, physician master, and hospital master).
• Execute and validate at least two dry-run migrations before cut-over; lead reconciliation against SAP Business One closing trial balance.
4. Testing, Training & Go-Live
• Write and execute test scripts for unit testing, System Integration Testing (SIT), and User Acceptance Testing (UAT); maintain the defect log and drive resolution with the vendor.
• Design and deliver role-based end-user training (Sales Reps, DSMs, Finance, Supply Chain, Medical Affairs, HR) and produce quick-reference job aids in English and, where appropriate, Filipino.
• Lead cut-over rehearsals, go-live checklists, and the first 90 days of hyper-care support.
5. Compliance, Documentation & Handover
• Ensure configurations satisfy FDA Philippines, BIR, PhilHealth, and DOLE reporting requirements and document all configuration decisions in a Zoho Admin Runbook handed over to PPI's internal IT owner at go-live.
• Produce SOPs, process maps, and a Master Data Governance framework covering data ownership, change control, and quarterly audit cadence.
REQUIRED QUALIFICATIONS (MUST-HAVE)
Experience
• Minimum 3 years of full-cycle Zoho implementation experience across at least Zoho CRM, Zoho Books, and Zoho Creator, with verifiable delivery of at least one end-to-end Zoho One implementation for a company of 50+ users.
• Demonstrated experience migrating from a legacy ERP (SAP Business One, Oracle NetSuite, Microsoft Dynamics, QuickBooks Enterprise, or similar) to Zoho One.
• Strong Deluge scripting ability — custom functions, scheduled workflows, API integrations, and multi-app automations within Zoho Creator and Zoho CRM.
• Hands-on experience with Zoho Analytics (query tables, formula columns, dashboards) and Zoho Books (Philippine tax configuration, BIR-compliant invoicing).
Technical Skills
• Zoho REST API, Webhooks, OAuth 2.0; comfort integrating Zoho with third-party SaaS applications (a Plat force CRM/CLM integration experience is a strong plus).
• SQL proficiency sufficient to write reconciliation queries against Zoho Analytics data models and validate migrated data sets.
• Strong Excel skills (Power Query, pivot tables, XLOOKUP) for data cleansing and migration validation.
Education & Certifications
• Bachelor's degree in Information Technology, Computer Science, Business Information Systems, Accounting Information Systems, Industrial Engineering, or a related field.
• Zoho certification — Zoho CRM Certified Administrator, Zoho Creator Certified Developer, or equivalent — is required for candidates at the senior band of the salary range.
Business & Soft Skills
• Ability to facilitate workshops with non-technical business users and translate their language into configuration specifications, and vice versa.
• Written and spoken English at business-professional level; Filipino fluency preferred for end-user training.
• Demonstrable ability to hold a vendor to contracted scope, SLAs, and quality standards without damaging the working relationship.
PREFERRED QUALIFICATIONS (NICE-TO-HAVE)
• Prior experience implementing ERP or CRM in the Philippine pharmaceutical, medical device, FMCG distribution, or hospital-supply industries.
• Experience deploying Zoho People for Philippine payroll, DOLE-compliant leave management, and overtime policy automation.
• Exposure to Platforce, Veeva, or other Pharma-specific CLM platforms.
• Six Sigma Green Belt, PMP, PRINCE2, or equivalent process-discipline certification.
