Job Description

Job Summary

The Warehouse Admin Assistant plays a vital role in supporting warehouse operations by monitoring inventory, ensuring cleanliness, tracking material movement and assisting with various administrative tasks. This position is responsible for maintaining organized records, communicating material needs, and ensuring smooth operations within the warehouse to support project requirements.

Key Responsibilities

Warehouse Management:

  • Track and manage the inventory of project materials, warehouse consumables, and printing consumables.
  • Maintain an up-to-date record of warehouse stock, ensuring timely orders and requests are placed when required.
  • Track the movement of materials in and out of the warehouse, including the handling of Delivery Receipt Requests (DRR) and materials received.
  • Communicate with the relevant teams regarding warehouse material needs for ongoing projects.
  • Ensure that the warehouse is adequately stocked and prepared for upcoming project requirements.
  • Monitor and maintain accurate records for warehouse consumables.
  • Encode and update consumable inventory (if applicable) in Excel for project requests.
  • Ensure the cleanliness and organization of the warehouse at all times.
  • Report and coordinate any cleaning supplies or needs.

Vehicle Schedule Management

  • Coordinate vehicle schedules.
  • Regularly update and submit vehicle reports.

Administrative Support

  • Create Cost Approval (CA) requests for warehouse purchases and expenses.
  • Support other ad-hoc administrative tasks related to warehouse operations as required.
  • Encode and submit the guard's daily reports.
  • Check and submit the Daily Time Records (DTRs) of warehouse employees every week.

Qualifications

  • College graduate or diploma holder in any related field.
  • With warehousing experience (preferred).
  • Knowledgeable in inventory monitoring and reporting stock levels or discrepancies to the assigned Officer-in-Charge (OIC).
  • Fast learner with the ability to quickly adapt to new systems and processes.
  • Versatile and capable of handling multiple tasks in a dynamic warehouse environment.
  • Proficient in Microsoft Excel, Google Sheets, and basic reporting tools.
  • Skilled in safely operating forklifts and pallet jacks (certification is an advantage).
  • Strong organizational skills with attention to detail.
  • Good communication skills and ability to work both independently and as part of a team.
  • Physically capable of handling and moving warehouse materials and comfortable working in a warehouse environment.
