Key Responsibilities
- Manage client communications, including monitoring, drafting, and routing emails on behalf of the principal
- Provide scheduled call coverage with clients when the principal is unavailable, primarily during US Eastern Time hours
- Follow up with vendors regarding outstanding quotes, confirmations, contracts, and event-related correspondence
- Support sponsor outreach efforts through prospect research, list management, and email tracking
- Coordinate event logistics by maintaining timelines, checklists, and run-of-show documents
- Manage registration and ticketing processes through Whova and Eventbrite
- Maintain and update Monday.com boards to ensure project tasks and deadlines remain current
- Organize and maintain client folders and documents in Box
- Prepare documents including vendor briefs, attendee communications, and meeting notes
- Provide general administrative and project coordination support across multiple active events and clients

- Whova – event management platform (training will be provided)
- Eventbrite – ticketing and registration management
- Airtable – sponsor and partner tracking
- Canva – invitation and communication design

Qualifications
- Proven experience as a Virtual Assistant, Project Coordinator, Executive Assistant, or similar administrative support role
- Strong written and verbal English communication skills
- Excellent organizational skills with strong attention to detail
- Ability to manage multiple projects and deadlines simultaneously
- Experience using project management tools such as Monday.com, Asana, or similar platforms
- Comfortable handling client and vendor communications professionally
- Proficient in Google Workspace and Microsoft Office applications
- Experience with event coordination, ticketing platforms, or sponsor management is an advantage
- Canva design experience is preferred
- Ability to work independently and proactively with minimal supervision
- Availability to support US Eastern Time meetings or check-ins as needed
