Summary: 

We are seeking a detail-oriented and proactive Operations Assistant - Immigration Admin to join our dynamic transportation operations team. This role is critical in ensuring seamless immigration compliance and administrative support across our global transportation network. The ideal candidate will play a pivotal role in managing visa applications, work permits, immigration documentation, and employee onboarding processes, ensuring full adherence to regulatory requirements and company policies. With a strong focus on accuracy, confidentiality, and efficiency, the Operations Assistant will support both internal teams and external stakeholders by maintaining up-to-date records, coordinating with government agencies, and streamlining immigration workflows. This position offers a unique opportunity to contribute to operational excellence within a fast-paced, compliance-driven environment, while gaining valuable experience in international transportation logistics and immigration management.

Responsibilities:

  • Manage end-to-end immigration documentation for employees, including visas, work permits, and residency applications. 
  • Coordinate with government immigration authorities, legal teams, and external consultants to ensure timely processing and compliance. 
  • Maintain a centralized, secure database of employee immigration records and expiration dates, with proactive alerts for renewals. 
  • Prepare and review immigration forms, supporting documents, and application packages for accuracy and completeness. 
  • Provide administrative and operational support to HR, logistics, and executive teams related to employee mobility and international assignments. 
  • Liaise with travel and logistics departments to align immigration timelines with employee deployment schedules. 
  • Ensure adherence to company policies, data privacy regulations (e.g., GDPR, Privacy Act), and immigration laws across jurisdictions. 
  • Assist in preparing reports and dashboards on immigration status, application timelines, and compliance metrics. 
  • Support onboarding and offboarding processes for international hires and expatriates. 
  • Respond to internal and external inquiries regarding immigration status, documentation, and procedural requirements.

Requirements:

  • 1–3 years of experience in administrative, operations, or immigration support roles, preferably within transportation, logistics, or international business environments. 
  • Proven experience in managing immigration documentation, visa applications, and work permit processes. 
  • Strong organizational and time-management skills with the ability to handle multiple priorities under tight deadlines. 
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM or HRIS systems (e.g., Workday, SAP, BambooHR). 
  • Excellent written and verbal communication skills with a high level of attention to detail. 
  • Ability to maintain confidentiality and handle sensitive personal and legal information with discretion. 
  • Knowledge of Australian immigration regulations (e.g., subclass visas, employer-sponsored visas) is highly desirable. 
  • Strong problem-solving abilities and the capacity to work independently with minimal supervision. 
  • Willingness to support remote and hybrid work environments with reliable internet and communication tools. 

Work Conditions:

  • Remote work model with occasional in-office support as needed. 
  • Flexible hours may be required to accommodate international time zones and urgent immigration deadlines.
