US ADMINISTRATION ASSISTANT
Location: Clark/Cebu/Manila/Tarlac
Shift: 9:00 PM - 6:00 AM PHT
Experience Required: Minimum of 2 years US accounting firm admin experience

ABOUT THIS ROLE. . .
We're seeking an Administration Assistant with experience in US accounting firms to support scheduling, communication, and documentation tasks. The role involves managing calendars, drafting emails, handling sensitive information, and assisting with client onboarding and compliance
WHAT YOU'LL DO:
- Manage and maintain the client's schedule, including organizing appointments, meetings, and travel arrangements.
- Serve as the primary point of contact between the client and internal and external stakeholders, ensuring precise and consistent communication.
- Draft numerous emails with precision for clients and other stakeholders.
- Handle confidential and sensitive information with the utmost integrity and professionalism.
- Prepare documents, reports, and presentations as needed for meetings and projects.
- Oversee and prioritize incoming correspondence, emails, and calls, drafting responses when necessary.
- Coordinate and facilitate special projects or events as assigned by the client.
- Maintain a well-organized filing system for both digital and physical records.
- Assist in ensuring the client stays on track with deadlines, deliverables, and key initiatives.
- Perform other administrative and operational tasks to support the efficiency of the client's office.
- Track key performance indicators.
- Assist in proactive client engagement efforts.
- Address client inquiries promptly and provide solutions for managing costs effectively.
- Draft client proposals and ensure alignment with the company's standards and client requirements.
- Manage logistics related to client intake and onboarding meetings or events.
- Offering outstanding service and problem-solving where necessary.
- Other office duties as required.
WHAT WE'RE LOOKING FOR:
- 2 years US accounting firm admin experience
- Exposure to compliance and workflow support
- Experience preparing/managing client documentation
- Familiar with practice management systems (Thomson Reuters, CCH, or similar)
- Can assist with compliance tasks (W-9, 1099 filing)
