This role is ideal for someone highly organized, detail-oriented, and experienced in managing documentation, timelines, and compliance requirements to ensure smooth and accurate real estate transactions.

If you enjoy structured workflows, document review, and supporting high-volume transaction operations, we want to hear from you.

What You'll Do

  • Prepare and open escrow and file setup packages, ensuring required components are complete prior to file build-out.
  • Create and manage transaction files within TransactionPoint or designated platforms.
  • Set up transaction timelines and track key milestones based on contracts and addenda.
  • Order and monitor condominium and supporting transaction documents as required.
  • Upload, organize, and maintain documents using proper naming conventions and file structure.
  • Perform internal quality checks to verify required signatures, disclosures, addenda, and compliance documentation.
  • Flag missing or incomplete documents to Transaction Managers for resolution.
  • Maintain internal trackers, file status logs, and pipeline reports (e.g., new escrows, pending items).
  • Manage internal assignment emails and file initiation communications.
  • Support document revisions, re-uploads, and updated form management as needed.
  • Adhere to standardized processes, document-handling protocols, and compliance procedures.

What We're Looking For

  • High school diploma or vocational background accepted with relevant experience.
  • Minimum of 2 years of experience in transaction management, escrow support, or similar administrative processing roles.
  • Experience using cloud-based document management systems and shared drives.
  • Familiarity with Microsoft Teams (or similar tools) for daily communication and collaboration.
  • Strong attention to detail with consistent accuracy in documents and deadlines.
  • Excellent organizational skills and ability to follow standardized, checklist-driven workflows.
  • Comfortable working independently and managing repetitive, high-volume tasks.
  • Quick learner who can adapt to new systems and evolving processes.
  • Clear written and verbal English communication skills.
  • Stable employment history required.

Nice to Have

  • Experience using TransactionPoint or a comparable transaction management platform.
  • Background supporting US real estate transactions or operations.
  • Experience in compliance-driven documentation or file administration environments.

If you're looking to grow your career in real estate transaction support within a structured, process-driven environment, we encourage you to apply.
