Job Summary:
The Training Assistant is responsible to provide administrative and logistical support to training programs, ensuring smooth delivery and effective learning for employees.He/She coordinates schedules, manages resources, and assists with the preparation and execution of training activities.
Specific Duties & Responsibilities:
- Assists the Head of Training in scheduling and communicating of training programs.
- Maintains and manages training calendar events and schedules.
- Coordinates with the service providers the training modules/programs required for our pilots and/or mechanics.
- Liaises with the training instructors on respective training programs and schedules.
- Coordinates guest visits, greets and escorts visitors as required, answers inquiries and relays accurate messages to the Head of Training.
- Create certificates for employees who complete training initiated by the Head of Training.
- Ensures that crew record system is properly maintained and updated.
- Works with different/other concerned Departments if needed.
- Uses MS Office software to generate routine and on-demand training and safety analyses, reports and briefings.
- Manages a record-keeping system to include developing protections for sensitive information such as training invoices and communications between Training and HRA Department.
- Writes and prepares correspondence and email on behalf of, and/or finalize for, the Head of Training.
- Attends key meetings and takes minutes on behalf of, and/or finalize for, the Head of Training.
- Manages and orders supplies for Training requirements.
- Follows and participates actively in Safety Management System (SMS) including reporting hazards and incidents encountered in daily operations. Understand, comply, and promotes the company's safety and quality policies.
- Develops own skills and industry knowledge in all areas of TRAINING as required by the Company and as part of continuous learning and improvement through but not limited to further studies; training; etc.
- Performs other job-related duties and responsibilities as needed within the scope of TRAINING function and in line with the limitations prescribed by the authority.
- Responsibilities and duties may change when circumstances dictate such as but not limited to changes in workload; rush jobs; emergencies; etc.
- Lead and motivate the local TRAINING Force.
- Demonstrate, encourage, and act as role model in any ways of working within teams.
