Job Summary
The Technical Documentation Specialist is responsible for developing, organizing, and maintaining high-quality documentation for technical operations. The primary goal is to ensure that all manuals, procedures, and technical records are accurate, up-to-date, and compliant with both company standards and industry regulations. This role serves as a critical link between engineering teams and operational staff by making complex information easy to understand and access.
Key Responsibilities
- Content Creation: Write, edit, and format technical documents, including standard operating procedures (SOPs), maintenance manuals, and user guides.
- Document Control: Manage the end-to-end lifecycle of documents, including drafting, review, approval, distribution, and archiving.
- Digital Management: Maintain the digital document repository to ensure all files are correctly indexed, searchable, and version-controlled.
- Compliance: Ensure all documentation adheres to internal quality management systems and external regulatory requirements.
- Collaboration: Work closely with Subject Matter Experts (SMEs), engineers, and department heads to gather information and verify technical accuracy.
- Auditing: Participate in regular document audits to identify obsolete files and ensure the latest revisions are in use.
- Reporting: Track documentation status and provide regular updates to management regarding pending revisions or compliance gaps.
Requirements & Qualifications
Education & Experience
- Bachelor's degree in a technical field, Communications, English, or a related discipline.
- Proven experience in technical writing, document control, or records management (industry-specific experience preferred but not always required for generic roles).
Technical Skills
- Software Proficiency: Expert knowledge of MS Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat Professional.
- DMS Knowledge: Familiarity with Document Management Systems (e.g., SharePoint, Documentum, or industry-specific ERPs).
- Data Organization: Strong ability to categorize and structure large volumes of information logically.

- Communication: Ability to explain complex technical concepts in simple, clear language.
