Role Summary:
The Technical Assistant provides executive, administrative, financial, and operational support for the Stakeholder Relations and Permitting, Right-of-Way, Regulatory and Legal and Compliance team (SRRLC). This role ensures regulatory adherence, documentation accuracy, budget tracking, and seamless coordination between internal teams, government agencies, property owners, and senior management.
Outcomes Expected and Responsibilities:
Executive Administrative Support
- Organizes internal and external meetings for the Vice President for SRRLC / Senior Assistant Vice President for SRP, ROW and Legal, including scheduling, logistics, agenda preparation, and documentation of key discussions and actions.
- Coordinates and ensures timely routing and secure processing of documents requiring the Vice President for SRRLC / Senior Assistant Vice President for SRP, ROW and Legal's review and signature.
- Works closely and coordinates with various internal stakeholders on behalf of the Vice President for SRRLC / Senior Assistant Vice President for SRP, ROW and Legal for updates, compliance monitoring, and other SRRLC-related initiatives.
- Prepares, updates, maintains, and safeguards official files, documents, reports, and other relevant data or information.
- Participates in the preparation of documents, reports, and presentations required by SRRLC.
- Provides leadership and support for special projects and ad hoc assignments as needed.
Budget Planning & Financial Monitoring
- Assists in Budget planning and monitoring for SRRLC.
- Processes requests for payment (RFP), reimbursements and corporate credit card invoices for SRRLC executives.
- Processes purchase requests / orders (PR-PO) for the worktools of SRRLC, including licenses for required software.
- Coordinates with Finance/Accounting for any payment or budget related items for SRRLC.
- Processes requests for accreditation, business cards, safety shoes, and any other administrative needs of SRRLC.
Travel & Logistics Coordination
- Arranges domestic and/or international travel for executives.
- Coordinates flights, ground transportation, and hotel accommodations.
- Prepares detailed travel itineraries and meeting schedules.
- Ensures compliance with company travel policies and budget.
- Processes travel reimbursements and expense documentation.

Minimum Qualifications:
- At least 3-4 years relevant work experience
- Bachelor's degree in Business Administration, Public Administration, Legal Studies, Finance, Urban Planning, or related field preferred
- Strong written and verbal communication skills, and organizational and document management skills
- Budget tracking and financial reporting capability
- Ability to manage multiple priorities in a fast-paced environment
