Job Description

Job Summary:

We are seeking a highly organized and results-driven Team Lead Compliance & Records to oversee the end-to-end execution of property title transfers within our real estate operations. The role is responsible for managing the title transfer team and ensuring the accurate, timely, and compliant processing of al related documentation, including the Document of Absolute Sale (DOAS), Documentary Stamp Tax (DST) payments, Electronic Certificate Authorizing Registration (eCAR) issuance, and title registration with the Registry of Deeds. The ideal candidate will demonstrate strong leadership, operational efficiency, and in-depth knowledge of Philippine real estate documentation and regulatory requirements

Job Responsibilities:

Leadership and Team Management

  • 1. Lead, mentor, and supervise the Title Transfer team to ensure high performance and adherence to established timelines and quality standards.
  • 2. Allocate workloads effectively and monitor progress to achieve departmental targets and service-level agreements (SLAs).
  • 3. Conduct regular performance evaluations and provide coaching to support professional development.

End-to-End Title Transfer Operations

  • 1. Oversee the complete title transfer lifecycle, including:
  • 2. Preparation and notarization of the Document of Absolute Sale (DOAS)
  • 3. Computation and payment of Documentary Stamp Tax (DST)
  • 4. Application and release of the Electronic Certificate Authorizing Registration (eCAR)
  • 5. Processing of title transfers with the Registry of Deeds
  • 6. Ensure the accuracy, completeness, and compliance of al documents at each stage of the process.
  • 7. Escalate complex cases and coordinate with management for resolution of operational or compliance issues.

Coordination and Compliance

  • 1. Serve as the primary liaison with internal departments (Legal, Acquisitions, Sales, Finance, and Operations) and external stakeholders (notaries, brokers, BIR examiners, Registry of Deeds, and LGU representatives).
  • 2. Ensure strict compliance with national and local real estate laws and regulations.
  • 3. Maintain a complete and organized repository of transaction documents to ensure audit readiness and data integrity.

Notary and Partner Management

  • Coordinate with accredited notaries nationwide to ensure timely execution of notarizations.
  • Support the maintenance and monitoring of a reliable network of notarial partners.
  • Ensure consistency and compliance with documentation standards across al locations.

Process Improvement and Reporting

  • Identify process bottlenecks and recommend workflow and system enhancements to improve efficiency and turnaround time.
  • Stay abreast of changes in real estate regulations and integrate updates into internal Standard Operating Procedures (SOPs).
  • Prepare and submit regular reports on operational performance, compliance metrics, and transaction progress to management.

Qualifications:

  • Bachelor's Degree in Legal Management, Business Administration, Real Estate, or a related field.
  • Minimum of 3 to 5 years of relevant experience in title transfer operations or real estate documentation.
  • Strong understanding of Philippine property transfer processes, including DST, eCAR, and LRA requirements.
  • Demonstrated experience in supervising or leading a small team.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal and communication abilities, with the capacity to coordinate effectively across multiple stakeholders.
  • High level of integrity, attention to detail, and commitment to regulatory compliance.
