Staff Accountant
Location: Remote — Philippines (collaborating daily with the U.S. team)

Help us keep accounting, payroll, and finance operations accurate and organized. As a Staff Accountant, you'll support key financial processes including accounts payable, accounts receivable, payroll processing, reconciliations, compliance support, and month-end close activities.

What you'll do:
Accounting Operations & Reconciliations
- Record bills and ensure timely payment.
- Perform weekly reconciliations of bank accounts, credit cards, and other key balance sheet accounts.
- Follow up promptly on unreconciled items and discrepancies.
- Monitor and maintain sufficient credit card limits for ongoing operations.
- Support the month-end close process by preparing schedules, reviewing account activity, assisting with journal entries, and supporting reporting requirements.
Accounts Payable, Accounts Receivable & Billing
- Set up new vendors, including W-9 collection and accurate system entry.
- Manage invoicing and collections to support timely cash flow.
- Set up new clients accurately in the billing system.
- File proposals and client agreements to maintain organized client records.
Payroll & Compliance Support
- Add new employees to the payroll system promptly and accurately.
- Process payroll accurately and on time each pay cycle.
- Assist with workers compensation audits by gathering and submitting required payroll documentation.
- Assist with state tax registrations for new employment states.
- Coordinate with the Finance Coordinator when payroll tax notices are received.
- Support non-discrimination testing for 401(k) audit compliance.
Process Support & Cross-Functional Collaboration
- Maintain accurate vendor, client, employee, payroll, and accounting records.
- Support audits, reporting, and compliance-related requests as needed.
- Partner with finance and operations stakeholders to ensure accurate, timely, and compliant financial processes.
- Perform other duties as assigned.
What you'll bring:
- 3+ years of experience in accounting, payroll, or a related finance role.
- Strong understanding of accounts payable, accounts receivable, payroll operations, and account reconciliations.
- Experience supporting month-end close activities, journal entries, schedules, and reporting.
- Proficiency with accounting and payroll software systems.
- Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
- Strong attention to detail, accuracy, and follow-through.
- Excellent organizational and time management skills.
- Strong problem-solving skills and ability to resolve discrepancies.
- Clear communication and customer service skills.
- Ability to handle confidential information with professionalism and discretion.
Preferred Qualifications:
- Bachelor's degree in Accounting, Business Administration, Finance, or a related field.
- Experience supporting payroll tax notices, workers compensation audits, state tax registrations, or 401(k) compliance testing.
- Experience working with U.S.-based accounting, payroll, or finance operations.
