Role Overview
The
Senior Wholesale Operations Specialist ensures the accurate, timely, and compliance-focused fulfillment of all wholesale purchase orders. This role oversees the complete wholesale order lifecyclefrom PO receipt to invoicingand plays a critical role in supporting operational efficiency and partner satisfaction.
A strong understanding of EDI, wholesale logistics, and cross-functional coordination is essential.
Key Responsibilities
EDI & SPS Commerce Management
- Own the daily EDI transaction flow (850, 860, 855, 856, 810, etc.) through SPS Commerce
- Validate, monitor, and troubleshoot incoming and outgoing EDI documents
- Partner directly with SPS Commerce support to resolve exceptions and integration issues
- Ensure compliance with trading partner routing guides, packaging standards, and EDI specifications
- Maintain accuracy across ship windows, routing guidelines, and retailer compliance requirements
Wholesale Order Management
- Manage the full wholesale order lifecycle: PO receipt, review, validation, allocation, fulfillment, and invoicing
- Coordinate with 3PL partners for pick/pack/ship execution, shipping exceptions, and documentation requirements
- Ensure timely and accurate creation of ASNs, labels, packing lists, and invoices
- Monitor order holds, backorders, and inventory constraints; proactively communicate updates
- Track shipment timelines and assist in resolving chargebacks, compliance issues, and partner escalations
Customer & Partner Support
- Monitor and manage customer cases, ensuring timely and accurate responses
- Respond to inquiries related to warranty issues, order status, product information, and delivery questions
- Provide professional support to wholesale partners, distributors, and internal teams
- Assist with ad hoc tasks and special projects to improve operational efficiency and customer experience
Cross-Functional Collaboration
- Work closely with Sales, Operations, Finance, and Planning teams to support wholesale channel needs
- Communicate clearly with internal and external stakeholders regarding order status, inventory, and timelines
- Support process improvements related to EDI, order accuracy, and partner compliance
Requirements
- 23 years of experience in wholesale operations, order management, logistics, or related roles
- Background in a business-related course (e.g., Business Administration, Supply Chain, Accounting)
- Familiarity or exposure to EMEA wholesale accounts and regional requirements (strong plus)
- Experience with SPS Commerce, NetSuite, Salesforce, Shipwire, and Google Workspace preferred
- Proficiency in Microsoft Office, particularly Excel or Google Sheets
- Excellent written and verbal communication skills
- Strong analytical and data-processing capabilities
- Highly organized, detail-oriented, and able to independently troubleshoot issues
- Experience writing and maintaining SOPs
