Job Description

Responsible for managing end-to-end recruitment and pre-onboarding activities across multiple business units. This role ensures timely delivery of hiring requirements through strategic sourcing, stakeholder partnership, candidate management, and strong recruitment operations support. The specialist also drives reporting, process monitoring, vendor coordination, and recruitment initiatives such as job fairs and university partnerships.

Key Responsibilities

End-to-End Recruitment & Talent Acquisition Delivery

  • Manage full-cycle recruitment activities from sourcing to onboarding endorsement
  • Conduct job postings across multiple platforms
  • Perform candidate screening, interview scheduling, and coordination with hiring managers
  • Prepare candidate endorsements and facilitate hiring decision discussions
  • Develop salary analyses and support offer formulation
  • Lead job offer presentation and discussions with selected candidates

Pre-Onboarding & Hiring Documentation

  • Oversee completion of pre-employment requirements and onboarding readiness
  • Prepare and send incoming new hire notifications and Day 1 guides
  • Coordinate HRIS processing, blanket preparation, and digital 201 filing via SharePoint
  • Facilitate employment contract preparation and signed documentation completion
  • Coordinate PEME scheduling and background checks with third-party vendors
  • Support BP code enrollment, BPI LOE preparation, and MIS coordination

Recruitment Reporting & Governance

  • Prepare and present weekly and overall Talent Acquisition reports
  • Generate Quality Assurance Scorecard and HR Operations meeting reports
  • Create yield and funnel breakdown analytics for recruitment performance tracking
  • Monitor PRF creation and recruitment request progress
  • Maintain trackers for high-volume roles, including sales candidate pipelines

Stakeholder & Vendor Management

  • Coordinate with external recruitment partners and headhunters
  • Manage vendor-related requests for payments (PEME, background checks, job boards, manpower partners)
  • Liaise with Corporate Communications for employer branding and job vacancy promotions
  • Support regional university partnerships and recruitment marketing initiatives

Recruitment Events & Employer Branding

  • Lead job fair participation and logistics coordination (pre-event, event proper, post-event)
  • Manage recruitment collateral preparation including banners, flyers, merchandise, and digital updates
  • Ensure compliance with DOLE requirements and PhiljobNet accreditation processes

HR Operations & Administrative Support

  • Process ERPs, payment requests, and governance reporting requirements
  • Monitor submission of 2316 forms and waivers on a semi-annual basis
  • Close assigned AskViquie tickets and support HR service delivery
  • Provide backup facilitation support during New Employee Orientation programs

Qualifications

  • Bachelor's degree in Human Resources, Psychology, Business Administration, or related field
  • At least 35 years of experience in Talent Acquisition or Recruitment Operations
  • Strong background in end-to-end hiring, onboarding coordination, and stakeholder management
  • Proficiency in recruitment platforms, reporting, and HR systems/tools
  • Excellent communication, organization, and multi-tasking skills
