Job Purpose
JOB DESCRIPTION
The ERP Project Coordinator supports the Project Manager for project administration and coordination support across all stages of the ERP program. Role requires monitoring, ensuring that schedules, documentation, communications, and the integrated master project plan are consistently maintained, controlled, and communicated. This role supports the Project Manager by owning of day-to-day project administration activities, enabling the Lead PM to focus on governance, decision-making, and stakeholder management.
Responsibilities
Project Administration & Governance Support
Provide end-to-end administrative support to the ERP program across all phases (initiation, design, build, test, deploy, and post–go-live support).
Support the Lead PM in maintaining project governance artefacts, including meeting packs, status reports, RAID logs (risks, assumptions, issues, dependencies), and action trackers.
Track project decisions and ensure outcomes are documented and communicated to relevant stakeholders.
Support preparation for steering committee, core team, and vendor meetings.
Integrated Master Project Plan Management
Maintain and administer the ERP master project plan covering all workstreams and stages.
Track milestones, dependencies, and critical path items, highlighting variances and risks to the Lead PM.
Ensure version control and auditability of the master project plan.
Scheduling & Meeting Coordination
Plan, schedule, and coordinate project meetings across internal teams and external vendors.
Manage calendars, agendas, storing recordings and meeting logistics for recurring and ad-hoc ERP meetings.
Prepare and distribute meeting agendas, minutes, and action items to RAID Log, and follow up on outstanding actions.
Project Documentation Governance
Establish and maintain a structured document repository for the ERP program.
Ensure consistent document naming conventions, version control, and access management.
Store and maintain key project artefacts, including plans, designs, decisions, test artefacts.
Project Tools Support
Administer project management tools (e.g., Smartsheets, SharePoint & Microsoft Teams).
Ensure data accuracy and consistency across all project administration tools.
Qualifications
Bachelor's degree in information systems, Project Management, or a related field.
3–6 years of experience in a project management, project coordination or project administration role.
Experience supporting senior project or program managers in complex, multi-workstream initiatives.
