JOB DESCRIPTION DETAILS
The Senior Payroll Specialist has the primary responsibility for the conduct of the payroll engagement as outlined by the engagement partner and engagement manager, in accordance with the standards of the Company and the profession as expressed in official professional pronouncements.
The Senior Payroll Specialist carries out the payroll engagement in accordance with the approved engagement plan and during all phases, keeps the engagement manager and partner aware of progress, any material deviations from the time budget, discovery of any fraud or errors, difficulties in completing the engagement as assigned, and any problems in relationships with the client's personnel or contact person.
The Senior Payroll Specialist may assume the role of Payroll Manager depending on the set-up, requirement, size, and complexity of the engagement.
Key Responsibilities
1. Payroll Engagement & Delivery
- Manage payroll engagements according to approved plans, timelines, and budgets.
- Ensure accuracy, completeness, and confidentiality of all payroll deliverables.
- Monitor progress and report issues, risks, deviations, fraud, or errors to the Engagement Manager and Partner.
- Maintain a calendar of deliverables and ensure deadlines and turnaround times are met.
- Validate payroll results and discuss findings with clients.
- Ensure client compliance with mandatory government requirements (SSS, PhilHealth, HDMF, BIR).
- Use payroll and collaboration tools effectively (Dorado Payroll System, Nexus, MS Office 365, and government portals).
2. Client & Relationship Management
- Build strong client relationships by demonstrating responsiveness, professionalism, and service quality.
- Maintain regular communication with clients regarding progress, issues, and recommendations.
- Keep an updated list of key client, government, and third-party contacts.
- Address client concerns objectively while maintaining professional independence.
- Promote a positive image of the Parent Firm and the Company.
3. Team & People Management
- Supervise, review, and support the work of Payroll Specialists.
- Delegate tasks effectively and provide hands-on assistance when needed.
- Conduct performance appraisals and give timely, constructive feedback.
- Provide on-the-job training, coaching, and mentorship.
- Act as a role model and contribute to team motivation and development.
4. Professional & Practice Development
- Participate in internal and external training, audits, mentoring, and coaching programs.
- Complete required examinations and performance reviews.
- Contribute ideas for improving company processes, policies, and procedures.
- Assist in evaluating potential clients and participate in client meetings with management.
5. Administrative & Compliance Responsibilities
- Follow all company administrative policies and procedures.
- Submit accurate time reports, monitoring data, and surveys on time.
- Maintain strict confidentiality of all client and engagement information.
- Demonstrate flexibility in work assignments, schedules, and engagement requirements.
Qualifications
- Bachelor's degree in Finance, Accountancy, Banking, Business Administration/Management, or equivalent.
- At least 3 years of relevant payroll or related experience.
- Strong knowledge of payroll principles, taxation, and Philippine labor laws.
- Proficient in Microsoft Excel.
- Excellent communication and interpersonal skills.
- Ability to work with multiple engagement managers and adapt to changing priorities.
- Positive attitude, professionalism, and willingness to assume additional responsibilities.
