Job Summary

The Senior Payroll Specialist is responsible for the accurate, timely, and compliant processing of payroll for a multi-state workforce. This role oversees end-to-end payroll execution that ensures compliance with applicable payroll laws, and partners closely with HR and Accounting.

Processes end-to-end payroll accurately and on time for all employees using Paycom.

Reviews payroll inputs, earnings, deductions, and changes to ensure completeness and accuracy.

Ensures compliance with federal, state, and local payroll laws, including multi-state wage and hour requirements.

Oversees payroll tax accuracy, reconciliations, and coordination with Paycom and external tax vendors for filings and payments.

Reviews and validates payroll registers prior to submission.

Coordinates with HR on new hires, terminations, benefits changes, leave administration, and employee data accuracy.

Handles payroll-related inquiries from employees and resolves discrepancies promptly.

Supports year-end payroll processes, including W-2 review and distribution.

Maintains payroll documentation, procedures, and internal controls.

Supports internal and external audits by providing payroll schedules, reconciliations, and required documentation.

Identifies process improvement opportunities and works with Paycom administrators and internal stakeholders to implement solutions.

Required Qualifications

Experience processing multi-state payroll.

Has knowledge in federal, state, and local payroll regulations.

Experience with payroll tax reconciliations and year-end reporting.

Work independently in a remote environment while meeting strict deadlines.

Demonstrates strong attention to detail and strong organizational skills.

Demonstrates high level of professionalism and discretion when handling confidential information.

Clear and coherent both written and verbal communication skills in English.

Screening Criteria

Bachelor's degree in Accounting, Finance, Business, or a related field.

Minimum of five (5) years of payroll experience, including experience in a payroll lead or senior capacity.

Experience in Paycom software.

Experience in Microsoft Excel.

Must have stable employment history.
