Job Description

We are looking for a detail-oriented and proactive Operations & Logistics Executive to support our inbound sales operations and office administration. This role plays a key part in ensuring smooth order processing, inventory accuracy, and timely deliveries, while also providing shared services support across teams.

Key Responsibilities

Sales Operations & Order Management
  • Work closely with the Sales team to understand product requirements and validate order quantities

  • Analyse purchase orders and ensure accuracy before processing

  • Update and manage orders in the ERP system

  • Place purchase orders with suppliers in a timely manner
Logistics & Supplier Coordination
  • Liaise with suppliers on shipping schedules and follow up on order status
  • Coordinate with freight forwarders and shipping providers for deliveries
  • Manage customs clearance processes and ensure compliance
  • Ensure timely and efficient delivery of goods
Inventory Management
  • Maintain accurate inventory records between physical stock and system data
  • Monitor consignment stock levels and investigate discrepancies
  • Support stock planning and replenishment activities
Delivery Coordination
  • Plan and coordinate dispatch schedules
  • Oversee the deployment and utilisation of the delivery/dispatch team
Reporting & Analysis
  • Prepare and submit monthly operational reports to management
  • Perform sales order analysis and identify trends or issues
  • Support cost–benefit analysis and process improvement initiatives
Shared Services & Administration
  • Provide administrative and operational support to The Air Station
  • Coordinate internal requests and ensure smooth day-to-day office operations
  • Support cross-functional teams with administrative processes

Requirements

  • Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field
  • 2–5 years of experience in sales operations, logistics, supply chain, or a similar role
  • Experience working with ERP systems (e.g., Business Central or Navision, or similar)
  • Strong organisational skills with high attention to detail
  • Good understanding of inventory management and logistics processes
  • Experience coordinating with suppliers and freight forwarders is an advantage
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
  • Strong analytical and problem-solving skills
  • Proficient in Microsoft Excel and reporting tools
  • Good communication skills and ability to work with cross-functional teams
