We are looking for a detail-oriented and proactive
Operations & Logistics Executive to support our inbound sales operations and office administration. This role plays a key part in ensuring smooth order processing, inventory accuracy, and timely deliveries, while also providing shared services support across teams.
Key Responsibilities
Sales Operations & Order Management
- Work closely with the Sales team to understand product requirements and validate order quantities
- Analyse purchase orders and ensure accuracy before processing
- Update and manage orders in the ERP system
- Place purchase orders with suppliers in a timely manner
Logistics & Supplier Coordination
- Liaise with suppliers on shipping schedules and follow up on order status
- Coordinate with freight forwarders and shipping providers for deliveries
- Manage customs clearance processes and ensure compliance
- Ensure timely and efficient delivery of goods
Inventory Management
- Maintain accurate inventory records between physical stock and system data
- Monitor consignment stock levels and investigate discrepancies
- Support stock planning and replenishment activities
Delivery Coordination
- Plan and coordinate dispatch schedules
- Oversee the deployment and utilisation of the delivery/dispatch team
Reporting & Analysis
- Prepare and submit monthly operational reports to management
- Perform sales order analysis and identify trends or issues
- Support cost–benefit analysis and process improvement initiatives
Shared Services & Administration
- Provide administrative and operational support to The Air Station
- Coordinate internal requests and ensure smooth day-to-day office operations
- Support cross-functional teams with administrative processes
Requirements
- Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field
- 2–5 years of experience in sales operations, logistics, supply chain, or a similar role
- Experience working with ERP systems (e.g., Business Central or Navision, or similar)
- Strong organisational skills with high attention to detail
- Good understanding of inventory management and logistics processes
- Experience coordinating with suppliers and freight forwarders is an advantage
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Strong analytical and problem-solving skills
- Proficient in Microsoft Excel and reporting tools
- Good communication skills and ability to work with cross-functional teams
