We are currently in need of a forward thinking Human Resource Specialist whose core strength is building excellent client and employee relations and well adept in strategic labor relations management. This role will be reporting directly to the Human Resource Manager.

Duties & Responsibilities:

  • Ensure efficient and effective service delivery of day to day HR operations which includes onboarding, employee discipline, compensation & benefits administration, and offboarding.
  • Partners with business leaders and other units in the accurate and timely administration of payroll and benefits.
  • Partners with business leaders and and other units for design and implementation of data-driven changes/initiatives/programs, including but is not limited to employee engagement surveys, company events, and talent management programs.
  • Ensures preparation of timely and accurate management reports.
  • Builds and maintains an accurate HR system and records for all employee-related data.
  • Ensures compliance with regulatory requirements and company policies.
  • Recommends improvement in policies, systems and procedures to ensure seamless delivery of operations.
  • Partners with leaders and other units to keep relevant parties informed of any changes in regulatory requirements and compliance concerns, and ensures that these are properly documented, cascaded, and executed.
  • Build and maintain good working relationships with stakeholders such as clients, employees, department heads and vendors.

Onboarding

  • Coordinate New Hire Orientation (NHO) schedules and logistics with hiring managers and relevant stakeholders.
  • Coordinate and check pre-employment requirements to ensure completion and compliance prior to start date or following the agreed submission date/s.
  • Facilitate pre-employment discussions with candidates regarding onboarding process and company policies, as needed.
  • Prepare and release employment contracts for Full-Time Employees (FTE).
  • Create and manage Job Offers and Employment Contracts for pass-on candidates, including coordination of discussions and sign-offs.
  • Conduct and/or coordinate Core and Deployed New Hire Orientation sessions.
  • Send monthly reminders for onboarding catch-up sessions and ensure timely attendance and documentation.
  • Create and maintain 201 files (employee records), ensuring completeness, confidentiality, and accuracy.

Compensation and Benefits

  • Processes employees application and reimbursement of government benefits which include but not limited to loan, application, maternity and sickness reimbursement, etc.
  • In charge with generation and posting of the government (SSS, Philhealth, and HMDF) contributions and loan payments to government agencies
  • Able to facilitate filing of claims to SSS/Philhealth/HDMF via online system or manual transaction to government offices.
  • Facilitate 13th month pay and tax annualization processing
  • Able to secure and verify government numbers such as SSS, HDMF, TIN and Philhealth for those newly hired employees, both for local and expat employees.
  • Monitors and checks whether the government has reimbursed the amount of benefit that the company advances to the employees.
  • In charge with enrollment of employees to payroll account, distribution ATM Payroll card and bank details endorsement to payroll.
  • Update employee records with new hire information and/or changes in employment status
  • In charge with HMO enrollment, deletion and correction of details and distribution of HMO cards of entitled employees.
  • Ensure assistance in company benefits, partner establishment availments of the employees
  • Processes and audits timekeeping data from payroll system such as regular hours, overtime, night differentials, holidays, paid time off, leaves, etc., to accurately and efficiently administer payroll
  • In charge with endorsement of payroll information every payout to Finance for salary disbursement
  • Maintains employee information by entering and updating employment and status-change data related to payroll reports.
  • Keep all employee information confidential - maintains employee confidence and protects operations by keeping human resource information confidential.
  • In charge of end-to-end offboarding process of the separating employees
  • Act as point of contact for employees regarding questions about their onboarding, pay and benefits.
  • In charge with company-wide checking of employees in case of calamities and sending the status to the management
  • In charge of compiling, monitoring and preparing reports pertaining to timekeeping,payroll/compensation, and benefits.

Qualifications:

  • Minimum of 2-3 years experience in HR operations, onboarding, and/or payroll administration.
  • Strong knowledge of labor laws, payroll processes, and employee benefits.
  • Proficient in HRIS or payroll systems, Google workspace and Microsoft Office tools.
  • Excellent attention to detail, confidentiality, and organizational skills
  • Good to excellent interpersonal skills, relationship building, stakeholder management and customer service
  • Good to excellent communication skills and is fluent in English
  • Proven skills in multitasking and project management
  • Likes to challenge the status quo and lead efficiencies and initiatives
  • Good work ethics, problem solving and decision making, and time management skills
  • Preferably knowledgeable in using project and task management systems like Monday.com and other similar systems
  • Preferably knowledgeable in using Slack and PMS softwares
  • Preferably with experience in Compensation & Benefits and Payroll Administration.
  • Preferably a graduate of Human Resource Management, Psychology or any Business Management course
