Job Description

Job Overview:

In this role, you will work closely with senior stakeholders to deliver accurate, consistent, and well-presented reports across multiple accounting platforms (including Xero, MYOB, and QuickBooks). You will also support job costing, margin and working capital analysis, and help maintain reporting frameworks in tools such as Fathom or Castaway. The position requires strong Excel capability, high attention to detail, and confidence dealing with clients and banks to progress lending requirements.

JOB RESPONSIBILITIES:

Financial Data Extraction & Management

  • Extract and compile financial and operational data from accounting systems including Xero, MYOB, and QuickBooks.
  • Validate source data integrity and resolve inconsistencies before report preparation.
  • Maintain structured working files and audit trails to support repeatable reporting.

Financial Reporting Packs (Client & Internal)

  • Prepare comprehensive reporting packs, including:
  • Profit & Loss Statements
  • Balance Sheets o Debtors (AR) Reports
  • Creditors (AP) Reports
  • Sales Reports
  • Payroll Reports
  • Basic financial ratios and commentary
  • Format and structure reports to align with internal standards and client-specific requirements.
  • Review and refine reporting outputs to ensure accuracy, consistency, and alignment with provided examples/templates.

Analysis & Insights

  • Conduct job costing analysis to provide project-level financial insights.
  • Perform margin analysis to identify profitability trends and improvement opportunities.
  • Complete working capital analysis to assess liquidity, cash cycle performance, and operational efficiency.
  • Prepare clear, decision-useful summaries and flags for stakeholders (e.g., variances, trends, and unusual movements).

Forecasting & Planning

  • Develop financial forecasts based on agreed assumptions, drivers, and inputs.
  • Assist in scenario modeling and sensitivity testing where required.
  • Support month-to-month forecast refresh cycles and maintain forecasting workbooks.

Reporting Platforms Support (Fathom/Castaway)

  • Assist with report setup, structuring, and ongoing support within Fathom or Castaway.
  • Maintain a chart of accounts mapping and reporting layouts to ensure consistency across periods and clients.
  • Troubleshoot reporting issues and ensure outputs remain aligned to standards.

Lending Support & Administration

  • Prepare Excel summaries and complete Cito+ submissions to support lending applications.
  • Follow up with clients and banks to obtain outstanding documentation and ensure smooth processing of lending activities.
  • Track application progress, maintain document registers, and ensure deadlines and requirements are met.

JOB QUALIFICATIONS:

  • Demonstrated experience in financial reporting, management reporting, or accounting support (ideally with SME clients).
  • Working knowledge of Xero, MYOB, and/or QuickBooks (strong experience in at least one; ability to learn the others quickly).
  • Strong proficiency in Microsoft Excel, including:
  • PivotTables, lookups (XLOOKUP/VLOOKUP), SUMIFS/COUNTIFS
  • Data cleansing and reconciliation
  • Report formatting and building reusable templates
  • Excellent attention to detail with a strong ability to quality-check financial outputs.
  • Confidence working on templates and producing client-ready packs with consistent formatting.
  • Strong communication skills—comfortable liaising with clients and bank representatives to progress documentation.
  • Experience with Fathom or Castaway.
  • Exposure to job costing, forecasting, or lending documentation.
