As aSenior Executive Assistant, you'll be responsible of the following:
Executive & Strategic Support
- Manage the CEO's calendar, priorities, meetings, deadlines, and travel arrangements
- Serve as a strategic gatekeeper by screening requests, assessing urgency, and escalating matters appropriately
- Prepare comprehensive meeting briefs, summaries, and talking points in advance
- Track executive commitments and ensure timely execution of action items
Cross-Department Coordination & Follow-Ups
- Liaise with Operations, Accounting, HR, Marketing, Supply Chain, IT, Legal, and other departments
- Track, follow up, and close action items arising from meetings and executive directives
- Ensure the timely completion and coordination of: PRFs, budgets, approvals, and endorsements; Marketing campaigns and project timelines; Branch rollouts, closures, and operational updates; Supplier, franchisee, and partner engagements
- Maintain accurate weekly and monthly executive trackers and reports
Business, Brand & Project Support
- Support the execution of brand launches, collaborations, and company events (e.g., anniversaries, influencer activations, investor engagements)
- Assist in the preparation of company decks, presentations, and strategic materials
- Support new business concepts, pilots, and special projects
- Coordinate internal and external stakeholders to ensure alignment and timely delivery
- Maintain organized documentation, approvals, and project timelines
Executive Communications
- Draft, review, and send internal and external communications on behalf of the CEO and COO
- Prepare professional, executive-level responses for: Franchisees; Partners and vendors, Senior managers and key stakeholders
- Ensure all communications are clear, firm, respectful, and aligned with the company's tone and standards
Confidentiality & Trust
- Handle highly sensitive and confidential matters, including: Financial data and budgets; Legal and compliance concerns; Personnel and HR-related issues; Investor and partnership discussions
- Demonstrate the highest level of discretion, emotional intelligence, and professionalism at all times
Personal Administrative Support (Secondary)
- Provide light personal administrative support as needed (e.g., travel coordination, health-related scheduling, key personal commitments)
- Business and organizational priorities remain the primary focus
Qualifications & Professional Profile
- Minimum of 5 years of experience as an Executive Assistant, Senior Executive Assistant, Chief of Staff, or Operations Lead
- Proven experience supporting founders, CEOs, and senior executives in fast-paced, high-accountability environments
- Exceptional written and verbal communication skills, with the ability to draft executive-level correspondence and materials
- Highly organized, proactive, and detail-oriented, with strong follow-through and ownership of tasks
- Demonstrated ability to manage multiple brands, projects, and rapidly shifting priorities
- Proficient in Google Workspace (Calendar, Sheets, Docs, Slides) and task/project management tools such as Trello, Asana, Notion, or equivalent platforms
Performance Expectations (Key Performance Indicators)
- Zero missed deadlines attributable to administrative, coordination, or follow-up gaps
- 95% or higher on-time completion rate for all tracked action items and executive directives
- Measurable improvement in CEO and COO time management, focus, and decision-making efficiency
- Consistently high quality, clarity, and accuracy of briefs, summaries, reports, and executive communications
- Significant reduction in the need for the CEO or COO to personally follow up with departments
