What This Job Involves

We are seeking an Analyst – Talent Acquisition Support to join a highly collaborative, fast-paced shared services team delivering exceptional talent acquisition support across EMEA (covering over 30 countries). This role is strongly focused on end-to-end recruitment support, systems administration, and first-line query resolution, ensuring a seamless experience for candidates, recruiters, and hiring managers.

As a Talent Acquisition Support Analyst, you will combine hands-on ATS/Workday expertise with strong customer service and process discipline. You will act as a key enabler of hiring activity by supporting recruiters with operational excellence, maintaining data accuracy, resolving Tier 1 TA-related queries, and continuously improving hiring processes and candidate experience.

This role offers the opportunity to make a tangible impact on service delivery, compliance, and the effectiveness of talent acquisition operations across the region.

Key Responsibilities

Talent Acquisition Operations & Support

  • Provide centralized administrative and operational support to the Talent Acquisition team across EMEA.
  • Act as first-line support for Talent Acquisition–related queries from recruiters, hiring managers, HR partners, and candidates.
  • Manage TA-related cases through case management tools (e.g., HR Direct / ServiceNow), ensuring timely and accurate resolution.
  • Support recruiters with interview scheduling for internal and external candidates.
  • Create, distribute, and track electronic offers, internal transfers, and related documentation where applicable.
  • Collect, verify, and maintain Right to Work documentation in line with local compliance requirements.
  • Partner closely with HR Operations to ensure smooth onboarding for all new hires.

Systems & Data Management

  • Serve as a Workday / ATS specialist and champion, supporting recruiters and hiring managers in navigating and effectively using the system.
  • Maintain accurate recruitment data, including job requisitions, candidate records, offer details, and status updates.
  • Perform data corrections, transaction rescinds, audits, and system-related requests within defined procedures.
  • Support semi-functional system issues, mass uploads, validations, and data quality checks, escalating complex issues as required.
  • Update related reports, and proactively communicate strategies and needed actions to ensure smooth onboarding process for applicants, proper coordination of onboarding activities and overall performance within recruitment project timelines.
  • Ensure adherence to compliance standards, SOPs, and audit requirements throughout the hiring lifecycle.

Process Excellence & Continuous Improvement

  • Demonstrate strong knowledge of TA processes, policies, and standard operating procedures.
  • Identify opportunities to improve recruitment workflows, candidate experience, and system utilization.
  • Assist with updating SOPs, process maps, and knowledgebase documentation related to Talent Acquisition support.
  • Participate in regional or global TA initiatives, transitions, and process enhancements.
  • Perform quality checks on key recruitment transactions in line with defined quality frameworks.
  • Adhere to agreed KPIs, SLAs, and customer service standards.

Stakeholder & Service Management

  • Communicate clearly and professionally with stakeholders across EMEA and globally.
  • Manage multiple priorities while supporting recruiters, HR partners, and candidates in a fast-paced environment.
  • Act as a bridge between Talent Acquisition, HR Operations, and system support teams when required.

Desired Skills And Experience

  • Proven experience in a fast-paced coordination, administrative, HR, or Talent Acquisition support role.
  • Prior experience working in a shared services or global support environment preferred.
  • Hands-on experience with Workday (ATS or HR modules) or a similar HR/Recruitment system strongly preferred.
  • Strong customer service mindset with a focus on candidate and hiring manager experience.
  • Excellent attention to detail and ability to manage high volumes of transactions accurately.
  • Strong written and verbal communication skills; confident interacting with diverse stakeholders.
  • Solid understanding of recruitment operations, offers, onboarding, and compliance fundamentals.
  • Comfortable working with case management tools (e.g., ServiceNow) and HR process documentation.
  • Advanced proficiency in Microsoft Outlook, Excel, PowerPoint, and Word.
  • Curious, proactive, and motivated to drive continuous improvement.
  • Highly organized, resilient, and able to manage competing priorities.
  • Fluent in English; additional languages are an advantage.
  • Flexible on location, with the possibility of remote or hybrid working.
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
