SENIOR ACCOUNTS ADMINISTRATOR

Location: Clark, Pampanga
Shift: Monday to Friday, 7:00 AM to 4:00 PM PH Time
Arrangement: Onsite, Full Time

Experience Required: Minimum 2-4 years experience in accounts administration or invoice processing.

The Senior Accounts Administrator (Invoice Processing) is responsible for managing complex and high-value supplier and client invoices, resolving exceptions, and providing advanced support to the Accounts Administrators. This role ensures accurate, compliant, and timely invoice processing while mentoring junior staff and contributing to continuous process improvements.

WHAT YOU'LL DO:

Invoice Processing & Exception Management

  • Accurately process complex supplier and client invoices, including high-volume and high-value items.
  • Identify and resolve invoice discrepancies, incomplete information, or compliance issues.
  • Escalate unresolved issues to the Team Leader or Accounts Manager as appropriate.
  • Monitor daily invoice workflow to ensure deadlines and service standards are consistently met.

Team Support & Mentoring

  • Provide guidance and training to junior Accounts Administrators to build capability within the team.
  • Act as a subject-matter expert on invoice processing, HCP funding rules, and compliance requirements.
  • Support the Team Leader in workload allocation and operational decision-making.

Compliance & Risk Management

  • Ensure all invoice processing complies with HCP funding rules, aged care legislation, and internal finance policies.
  • Maintain proper documentation for all exceptions, adjustments, and escalations.
  • Identify recurring issues, risks, or trends, and recommend process improvements.

Systems & Process Improvement

  • Assist in the implementation and optimisation of finance systems, portals, and automation tools.
  • Suggest workflow improvements to enhance accuracy, efficiency, and compliance.
  • Support reporting requirements by providing accurate data on invoice volumes, exceptions, and processing performance.

Stakeholder Management

  • Liaise with suppliers, care managers, and internal teams to resolve complex invoice issues.
  • Build effective relationships to support smooth invoice workflows and timely resolution of queries.
  • Act as a reliable point of contact for escalated supplier or client concerns.

WHAT WE'RE LOOKING FOR:

  • Bachelor's degree holder
  • Minimum 2-4 years experience in accounts administration or invoice processing.
  • Experience handling complex, high-value, or exception invoices.
  • Previous experience mentoring or supporting junior staff preferred.
  • Knowledge of aged care, HCP funding rules, and compliance requirements highly desirable.
  • Certificate, Diploma, or Degree in Accounting, Finance, Business, or related discipline preferred.
  • Strong technical knowledge of invoice processing and accounts administration.
  • Excellent problem-solving and analytical skills.
  • High attention to detail and accuracy.
  • Strong leadership and mentoring capability.
  • Proficiency in finance systems, portals, and Microsoft Office (Excel essential).
  • Effective communication and interpersonal skills for liaising with suppliers, clients, and internal teams.
  • Ability to prioritise workload and manage competing deadlines.
