Maintain and update student records with accuracy, confidentiality, and compliance with institutional and CHED policies.
Oversee the proper recording of student status changes, including completions, withdrawals, program shifts, and grade adjustments.
Ensure timely updates in the registrar system to support academic integrity and student progress.
Validate and process enrollment requirements for new, transferee, and returning students with 100% accuracy.
Respond to inquiries from students, faculty, and external stakeholders with accuracy, timeliness, and excellent customer service.
Process and issue certified true copies, transfer credentials, certifications, and other official documents within standard turnaround times.
Maintain and optimize registrar systems to ensure smooth operations and process efficiency while ensuring data integrity, security, and accessibility across all systems
Generate accurate and timely reports (e.g., enrollment statistics, dean's list, conditional status) to support academic and institutional decision-making.
Provide students with accurate guidance on residency rules, maximum residency limits, curriculum flowcharts, and registrar-related academic policies.
Support students in understanding academic requirements to promote timely program completion.
Manage CHED scholarship application, validation, and submission requirements.
Promote scholarship opportunities to qualified students to support access and retention.
Submit required government reports and documentation (SO numbers, CAV, curriculum updates, calendars) on time and in full compliance with CHED and other regulatory bodies.
Minimum Qualifications
Bachelor's degree in Education, Business Administration, Management, or a related field; postgraduate studies or relevant certifications are an advantage.
Proven experience in registrar operations, student records management, or academic administration, preferably in a higher education institution.
Strong knowledge of CHED regulations, academic policies, and government compliance requirements.
Proficiency in registrar systems, student information systems (SIS), and related digital platforms; ability to troubleshoot and support process automation.
Excellent organizational skills with a strong attention to detail and commitment to accuracy and confidentiality in handling student records.
Strong communication and interpersonal skills, with the ability to provide excellent customer service to students, faculty, and external stakeholders.
Analytical and data management skills, with experience generating reports for decision-making.
Ability to manage multiple priorities, meet deadlines, and adapt to changing academic and regulatory requirements.
