Role Description

The SAP Business One Functional Consultant plays a critical role in helping organizations transform and optimize their business operations through the effective use of SAP Business One. This role is responsible for bridging business requirements and technical solutions by analyzing client processes, designing system configurations, overseeing implementations, and providing ongoing advisory and support services. The consultant is expected to manage the full ERP lifecyclefrom pre-sales discovery to post-go-live optimizationwhile maintaining strong client relationships and delivering measurable business value.

Core Responsibilities (Expanded & Detailed)

1. Client Engagement & Business Process Discovery

  • Conduct structured discovery sessions with key stakeholders, department heads, and end-users to understand existing business processes, operational workflows, reporting requirements, and pain points.
  • Analyze current-state processes (As-Is) and identify inefficiencies, gaps, risks, and improvement opportunities.
  • Facilitate workshops and interviews to gather detailed functional and non-functional requirements.
  • Translate business goals and strategic objectives into ERP-enabled solutions.
  • Act as the primary functional point of contact between the client and the implementation team.

2. Functional Requirements & Solution Architecture

  • Develop detailed functional requirement documents (FRD), business blueprints, and solution design documents.
  • Map business requirements to SAP Business One standard functionalities, identifying gaps and proposing enhancements or workarounds.
  • Define future-state (To-Be) processes aligned with SAP Business One best practices.
  • Design end-to-end workflows covering finance, sales, purchasing, inventory, production, and service management.
  • Ensure solution designs are scalable, compliant, and aligned with long-term business growth.

3. SAP Business One Configuration & System Setup

  • Configure SAP Business One modules including Financials, Sales, Purchasing, Inventory Management, Production, CRM, and Service.
  • Set up chart of accounts, posting periods, tax structures, price lists, warehouses, and approval procedures.
  • Define user roles, authorizations, and security settings to ensure proper access control and compliance.
  • Configure system parameters, document numbering, alerts, and approval workflows.
  • Coordinate and validate system integrations with third-party applications and add-ons.

4. Customization, Development & Technical Collaboration

  • Identify customization requirements where standard SAP Business One functionality does not fully meet business needs.
  • Design functional specifications for custom developments, including reports, forms, dashboards, and workflows.
  • Collaborate closely with developers to ensure customizations meet functional and performance requirements.
  • Review and validate SDK-based developments to ensure alignment with functional design.
  • Ensure custom solutions follow SAP best practices and are upgrade-safe.

5. Data Migration & Data Governance

  • Assess legacy systems and data structures to define data migration scope and strategy.
  • Define data mapping, cleansing, validation, and reconciliation processes.
  • Coordinate and execute data migration activities including master data, transactional data, and historical data.
  • Perform data validation and reconciliation to ensure accuracy and integrity post-migration.
  • Establish data governance standards to ensure long-term data quality within SAP Business One.

6. Testing, Validation & Quality Assurance

  • Develop comprehensive test plans, test scripts, and scenarios based on business processes.
  • Conduct unit testing and integration testing of system configurations and custom developments.
  • Facilitate and support User Acceptance Testing (UAT), including defect tracking and resolution.
  • Ensure all business requirements are validated prior to go-live.
  • Sign off on system readiness and quality standards.

7. Training, Knowledge Transfer & Change Management

  • Design and deliver role-based training programs for end-users, power users, administrators, and IT teams.
  • Develop training materials such as user guides, manuals, process flow diagrams, and quick reference guides.
  • Conduct hands-on workshops and system walkthroughs to ensure user confidence and adoption.
  • Support organizational change management by addressing user concerns and resistance.
  • Ensure smooth knowledge transfer for long-term system sustainability.

8. Go-Live Execution & Hypercare Support

  • Plan and execute go-live activities including system cutover, final data migration, and production readiness checks.
  • Provide on-site or remote hypercare support during the initial go-live period.
  • Troubleshoot and resolve critical issues impacting business operations.
  • Coordinate with technical and business teams to stabilize system performance.
  • Ensure minimal business disruption during transition.

9. Post-Implementation Support & Continuous Optimization

  • Provide ongoing application support, issue resolution, and functional enhancements.
  • Monitor system usage and performance to identify optimization opportunities.
  • Recommend process improvements and advanced SAP Business One features to improve efficiency.
  • Assist clients with system upgrades, patches, and new module rollouts.
  • Serve as a long-term advisor for ERP strategy and continuous improvement.

10. Client Relationship Management & Advisory Role

  • Build trusted, long-term relationships with clients at both operational and executive levels.
  • Act as a strategic advisor by aligning SAP Business One capabilities with business growth plans.
  • Provide regular system health checks and optimization recommendations.
  • Support client audits, compliance requirements, and reporting needs.
  • Ensure high client satisfaction and retention.

11. Pre-Sales, Solution Consulting & Business Development

  • Engage with prospective clients to understand their business challenges and strategic goals.
  • Conduct ERP readiness assessments and feasibility studies for SAP Business One implementations.
  • Prepare and deliver tailored system demonstrations aligned with prospect pain points.
  • Collaborate with sales teams to develop solution proposals, effort estimates, and implementation approaches.
  • Support RFP responses, presentations, and proof-of-concept activities.

12. Continuous Learning & Professional Development

  • Stay current with SAP Business One updates, roadmaps, and industry trends.
  • Participate in SAP trainings, certifications, and partner enablement programs.
  • Share knowledge, best practices, and lessons learned with internal teams.
  • Contribute to internal methodologies, templates, and delivery standards.

Qualifications & Experience

  • Bachelor's degree in accounting, Business Administration, Information Technology, or related field.
  • 35 years of experience in SAP Business One implementation, consulting, or support.
  • Proven track record of full-cycle ERP implementations.
  • Experience working directly with clients across multiple industries.
  • Strong expertise in SAP Business One modules and configurations.
  • Working knowledge of SAP Business One SDK, SQL, reporting tools, and integrations.
  • Strong documentation, testing, and data migration experience.
