About the role:

We are looking for a highly organised, proactive Sales Support Administrator to work closely with our Account Management team.

Your mission is simple: make the boat go faster.

You will take ownership of the administrative and coordination tasks that sit around the sales process so our Account Managers can focus on what they do best building relationships and growing revenue.

This is not a passive admin role. We are looking for someone who anticipates needs, pre-empts tasks, and takes initiative so Account Managers can rely on you to get things done accurately, quickly, and without being chased.

You will work closely with our Project Support Administrator and six Account Managers across New Zealand, supporting a wider sales team of 14 people. You will be part of a close-knit team of five team members working from the Philippines, fully integrated with our New Zealand team.

Key Responsibilities:

Sales & Account Manager Support

  • Partner closely with Account Managers to support their client portfolios
  • Proactively action administrative tasks so Account Managers can focus on sales
  • Pre-empt Account Managers needs for their clients, bookings, documentation, and reporting
  • Maintain strong communication rhythm with clients and Account Managers for updates and follow-ups
  • Client Administration & Customer Service
  • Deliver excellent client service via email and phone
  • Communicate clearly with clients regarding bookings, documentation, and enquiries
  • Support onboarding of new services and assist with existing services for clients
  • Resolve basic client issues or escalate complaints when required, promptly

Sales & Service Coordination


  • Action work orders across multiple service lines (health, training etc)
  • Administer course bookings and manage attendee registrations
  • Support client recall processes with accuracy and timeliness
  • Be familiar with client portals and assist with basic troubleshooting
  • Assist with service agreements, proposals, and documentation
  • Reporting & Systems
  • Maintain accurate records within Dynamics 365
  • Pull and compile reports e.g. from Power BI and Dynamics
  • Track activities for reporting and sales performance insights
  • Assist with data reporting and presentation preparation

Documentation & Compliance


  • Assist with client documentation including:
    • Service agreements
    • Purchase orders
    • Confidentiality forms
    • Account documentation
  • Assist with building accurate organisational structures for health reports

Continuous Improvement

  • Identify ways to streamline administrative processes
  • Proactively suggest improvements to systems and workflows
  • Support operational efficiency across the sales team

  • Excellent written and verbal communication skills in English

  • Comfortable learning CRM systems (experience with Dynamics 365 is a bonus)

Experience


  • Previous experience in an administrative or sales support role
  • Experience working with CRM systems is an advantage
  • Strong proficiency in Microsoft Office
