Position Summary
The Coordinator I Order Entry & Order Management is an entry-level, cross-trained role responsible for supporting the efficient execution of the Order-to-Cash process by handling standard order entry tasks and moderately complex change order processing. This role ensures order accuracy, timely processing, and strong coordination with internal teams while maintaining compliance with Vertiv policies and data standards.
Through structured training, the Coordinator I develops skills in PO validation, CPQ quote review, milestone billing, issue resolution, and quality checks, enabling them to support both the Order Entry (OE) and Order Management (OM) functions.
Job Responsibilities
- Order Entry Responsibilities
- Process all Channel product orders within the required 24-hour turnaround time.
- Ensure 95% of orders received one hour before the end of shift are reviewed/touched.
- Validate CPQ quotes to ensure accuracy between the quote and customer purchase order.
- Review POs based on the Vertiv Order Quality Checklist to prevent errors and discrepancies.
- Perform reporting tasks or other activities assigned by the supervisor in support of essential functions.
- Perform milestone billing on Project Orders as assigned.
- Execute and complete Order-to-Cash tasks efficiently and accurately.
- Participate in basic quality audits to ensure compliance with order entry standards.
- Coordinate with internal teams or customers to resolve discrepancies, missing information, or clarifications.
- Comply with all applicable Vertiv policies, market memos, and process guidelines.
- Order Management Responsibilities
(Supports the completion and accuracy of change orders across segments: resellers, VARs, OEMs, and direct end-users.)
- Process a range of standard and moderately complex change orders with accuracy and attention to detail.
- Ensure all change order modifications align with approved terms, CPQ quotes, pricing, and customer instructions.
- Investigate and resolve order discrepancies by reviewing supporting documentation and coordinating across teams.
- Support timely issue resolution to maintain strong customer relationships and seamless fulfillment.
- Communicate clearly with Sales, Order Fulfillment, Finance, Logistics, OE/I, and CS teams to ensure alignment.
- Maintain accurate documentation and audit-ready transaction histories.
- Cross-Functional & Administrative Responsibilities
- Assist in updating trackers, logs, or reports used for team performance and operational insights.
- Participate in team meetings, huddles, and cascades to share updates, best practices, and aligned action plans.
- Provide peer support and maintain a collaborative work environment.
- Escalate recurring issues, blockers, or systems problems to supervisors for timely resolution.
- Uphold data integrity across systems (Oracle, CPQ, CRM, OE tools).
- Participate in assigned training to support readiness in both OE and OM functions.
Qualifications
- Bachelor's degree preferred (Business, Operations, or related field); open to fresh graduates.
- Strong attention to detail and ability to follow structured processes.
- Basic proficiency in MS Office tools (Excel required).
- Experience with ERP/CPQ/CRM systems is a plus but not required; training provided.
- Strong communication skills and willingness to learn technical processes.
- Ability to manage time, prioritize tasks, and meet processing deadlines.
