Your Role:

The Sales Operations Specialist will support the multi-client revenue operations execution. You will execute and maintain the systems and data operations that power marketing and outbound performance across 5-10 client accounts.

As a Sales Operations Specialist, you will be responsible for
  • Data enrichment & list building (Clay workflows, inbound enrichment, outbound target lists)
  • Reporting & analytics (dashboards and reports from our systems)
  • Data hygiene & CRM operations (clean, reliable, usable data)
Data enrichment & list operations (primary)
  • Build and maintain Clay tables and workflows for:
    • Inbound lead enrichment
    • Outbound account targeting
    • Contact discovery + segmentation
    • Routing/handoff to outbound/cold calling teams
  • Maintain list quality: dedupe logic, suppression lists, tagging, ICP segmentation, and handoff standards.
  • Ensure enriched fields map correctly into CRM properties for reporting and follow-up
Reporting & analytics (primary)
  • Own recurring reporting outputs for internal use (sent to our Commercial Team for client presentations).
  • Build and maintain dashboards and reports inside the tools (CRM dashboards, standard reports, and lightweight single source of truth views).
  • Aggregate key signals across:
    • Digital marketing performance outcomes (lead/call/appointment activity)
    • CRM lifecycle stages and pipeline signals
    • Outbound activity and lead status outcomes
  • Maintain a consistent reporting cadence (weekly and/or monthly reporting packs as defined internally).
Data hygiene & CRM cleanliness (primary)
  • Own data reliability across systems:
    • Property consistency and field standards
    • Lifecycle stage correctness (aligned to our Dream-to-Value methodology)
    • Contact/company dedupe
    • Required fields and validation checks
  • Troubleshoot mismatches between lead sources and CRM records (e.g., ads show X leads, CRM shows Y).

System maintenance & light implementations (secondary)
  • Maintain implemented systems (fix broken workflows, sync errors, automation issues, and integration failures).
  • Support 1 implementation per month (typically one at a time), including:
    • Baseline CRM setup based on our standards
    • Pipeline/lifecycle configuration
    • Field mapping and imports
    • Basic automation + routing
Integrations & automation support (secondary)
  • Support light integrations and automations using tools like Zapier, native integrations, and platform settings.
  • Coordinate internally when deeper RevOps architecture work is required.
Compliance awareness (GDPR)
  • Follow internal guidelines for GDPR-sensitive workflows (especially when working with European customers).
  • Maintain clean suppression and consent-aware processes when applicable.
Core Systems Youu0027ll Work In
  • Kinetic OS (our multi-tenant CRM + lead operations platform)
  • HubSpot, Salesforce, GoHighLevel, Zoho
  • Clay + enrichment/data providers
  • Kixie (and similar calling systems)
  • Zapier (and other lightweight integration tools)
Non-negotiables
  • Clay experience (building tables, workflows, enrichment logic, QA).
  • Experience supporting outbound operations: handoffs to
  • Zapier and lightweight integration troubleshooting. calling/sequence teams, list segmentation, suppression management.
  • Experience in RevOps / Sales Ops / Marketing Ops / CRM Admin work, or a strongly technical ops background with comparable execution experience.
  • Comfortable working inside CRMs and operational systems (not intimidated by tools).
  • Excellent English communication (written and spoken) for internal collaboration.
  • Strong project management habits: task tracking, documentation, proactive updates.
  • Strong experience (or strong aptitude) with:
    • Data enrichment + list building workflows
    • Reporting dashboards
    • Data hygiene and standardization

Preferred skills/expertise
  • HubSpot familiarity (properties, lifecycle stages, workflows, reporting).
  • Excellent English communication (written and spoken) for internal collaboration.
