Under the general guidance and supervision of the Cluster Director of Sales and Marketing (CDOSM), and within the limits of established Corporate/Sales policies and procedures, provides efficient and comprehensive administrative assistance and office services to the Executive staff to meet the needs of customers. Promotes the desired work culture around the core values of the company.
Coordinates and arranges activities accorded to the CDOSM's office.
Appraises CDOSM of the day-to-day activities of the department.
Arranges appointments and meetings for the CDOSM and Executives of the Department, recording the same in the record book and ensuring the CDOSM has the appropriate documentation for each appointment.
Attends meetings such as Department Heads Meetings, Executive Committee Meetings, and others as directed by the CDOSM.
Takes minutes of attended meetings, accurately transcribes and circulates to appropriate hotel personnel.
Arranges room and restaurant reservations for VIP guests/personnel.
Prepares important documents for CDOSM's signature.
Performs assistance duties for staff, guests, and other functions as required.
Assesses priorities of work and assist in organizing CDOSM's priorities.
Prepares replies to routine correspondence for CDOSM's signature.
Takes dictation of correspondence as required.
Assists and sorts mail addressed to the CDOSM for urgent attention in the division.
Maintains a filing and trace system.
Answers all incoming calls for the CDOSM and either transfers, redirects, or takes a message for action.
Maintains the strictest confidentiality at all times on all matters.
Demonstrates essential overall knowledge of the organization.
Demonstrates familiarity with job or tasks as assigned (i.e. credit card partnerships, airline partnerships and external partners).
Understands the responsibilities of other sections and departments and collaborate with them to consolidate and to put together a report.
Qualifications
Work Experience Three (3) years of related work experience in the hotel industry
Educational Background - Graduate of Business Course or any four-year business-related course
Computer Literacy MS Office, Internet
Special Skills/Licenses/Area of Expertise - Business Management, Government Relations
