THIS IS FOR A SaasS (Software as a Service) COMPANY

Location: Cebu Hybrid

Engagement Type: Full-Time Contract-Based Role

Compensation Range: PHP 45,000 - PHP 60,000 / month (commensurate with Experience)

The Training and Documentation Specialist is responsible for helping the company learn, adopt, and document how work gets done. This person will work across departments to understand workflows, systems, features, and process changes, then translate that knowledge into clear training content, SOPs, release notes, and knowledge base materials.

This role also supports cross-functional administrative coordination tied to training rollouts, documentation requests, and process communication.

Key Responsibilities

1. Training and Enablement

  • Train new hires on company tools, workflows, operating standards, and team-specific processes.
  • Deliver refresher training and rollout training when new systems, features, or process updates are introduced.
  • Partner with department leaders to learn surface-level, basic, or in-depth knowledge of their workflows and convert it into usable training materials.
  • Create learning assets such as training decks, walkthroughs, facilitator notes, checklists, quick reference guides, and recorded tutorials.
  • Track training completion, gather feedback, and identify common gaps that require follow-up or better documentation.

2. Documentation and Knowledge Management

  • Create, update, and maintain SOPs, process maps, operational guides, and internal manuals.
  • Document builds, automations, internal systems, and cross-functional workflows in a format that is easy to maintain and use.
  • Write release notes and change summaries for new product updates, engineering releases, and internal system improvements.
  • Maintain and improve both internal and client-facing knowledge base content using HubSpot and other documentation tools.
  • Standardize templates, naming conventions, and documentation quality so content is easier to find and keep current.

3. Cross-Functional Administrative Support

  • Coordinate training requests, documentation follow-ups, and rollout support across multiple departments.
  • Help organize documentation libraries, update logs, and release communication trackers.
  • Support leadership and department owners with structured follow-through when new processes are launched or existing SOPs are revised.
  • Work with technical and non-technical stakeholders while keeping materials clear, practical, and usable.

Required Skills

  • 2 to 4+ years of relevant experience in training, documentation, knowledge base management, enablement, operations support, or a closely related role.
  • Strong written and spoken English. This role must communicate clearly across departments and with different audiences.
  • Proven experience creating SOPs, process documentation, guides, or structured training materials in a professional setting.
  • Experience delivering live or recorded training for new hires, process updates, tools, or systems.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities at the same time.
  • Ability to quickly learn new systems, workflows, and product or operational changes.
  • Working knowledge of knowledge base or documentation platforms such as HubSpot or similar tools.
  • Experience in AI tools such as ChatGPT, Claude, and similar platforms for drafting, organizing, or improving documentation workflows.

Preferred Skills

  • Experience creating video-based guides using tools such as Guidde, Loom, or similar platforms.
  • Experience writing release notes or summarizing engineering or product changes for operational teams or clients.
  • Experience supporting onboarding, rollout communication, process change management, or knowledge base governance.
  • Comfort working with project management, documentation, and admin tools such as ClickUp, Notion, Confluence, Zendesk, or related systems.
  • Experience in a fast-moving startup or cross-functional operations environment.
  • Basic technical fluency, especially around workflows, automations, and system adoption.
