Location: Cebu On-Site

Engagement Type: Full-Time Contract-Based Role

Compensation Range: PHP 80,000 - PHP 100,000 / month (commensurate with Experience)

We are hiring an Business Operations and Systems Manager to support the General Manager in leading and improving multiple operational functions across the business.

This is a high-impact managerial role for someone who can both manage and execute. The person in this role will help oversee managers and team leads, improve accountability across departments, and personally build and maintain the systems, workflows, and automations that keep operations running smoothly.

This is not a passive management role. We need someone who is highly organized, technically capable, hands-on, and comfortable working across both leadership and execution. This person will help manage operational areas such as ActiveSync, administration, training, customer support, HR recruitment, and selected accounting-related processes, while also owning key system and workflow improvements through ClickUp, Make, and AI tools.

The right candidate is a strong operator who can bring structure, follow-through, visibility, and practical problem-solving to a fast-moving environment.

Key Responsibilities

Operational Leadership and Execution

  • Support the General Manager in overseeing day-to-day operations across multiple departments.
  • Help manage managers and team leads by improving follow-through, accountability, and visibility.
  • Translate priorities into action plans, workflows, and structured execution.
  • Step in to personally execute important operational projects, builds, and process improvements when needed.
  • Help ensure key initiatives move forward consistently and do not stall at the planning stage.

Department Oversight

  • Help support and coordinate operational functions across ActiveSync, administration, training, customer support, HR recruitment, and selected back-office processes.
  • Monitor departmental progress, risks, bottlenecks, and execution gaps.
  • Work with managers and team leads to improve team structure, communication, and results.
  • Strengthen cross-functional coordination and handoffs between departments.

ActiveSync Management Support

  • Help oversee the ActiveSync department, with a focus on workflow consistency, quality, team performance, and operational visibility.
  • Support process improvements and better coordination between ActiveSync and other teams.
  • Help ensure account setup, task execution, and quality control standards are maintained.

ClickUp Ownership

  • Serve as a key owner of operational workflows inside ClickUp.
  • Build, organize, and maintain dashboards, task structures, forms, views, automations, and reporting systems.
  • Improve how teams use ClickUp for project tracking, accountability, and operational visibility.
  • Standardize internal workflows and create scalable structure across teams.

Automation and Systems Build

  • Build and maintain automations using Make and related tools.
  • Create practical systems that reduce manual work and improve process reliability.
  • Troubleshoot, improve, and expand existing operational automations and workflows.
  • Support internal builds and execution needs that require technical workflow thinking.

AI Enablement

  • Use tools like ChatGPT, Claude, and similar AI platforms to improve operations, reporting, communication, documentation, and workflow design.
  • Identify practical AI use cases that improve speed, quality, and consistency.
  • Help integrate AI into repeatable internal workflows where appropriate.

Administrative and Business Operations Support

  • Support leadership-level administrative and operational coordination tied to company priorities.
  • Assist with reporting, planning, follow-up, and internal execution.
  • Help support selected accounting-related operational processes and workflow coordination where needed.

  • Managers and team leads are better supported, more aligned, and more accountable.
  • Operational priorities are executed more consistently and with less follow-up needed from leadership.
  • ClickUp is structured, useful, and actively supports visibility and execution.
  • Make automations reduce manual work and improve consistency.
  • ActiveSync and other operational departments run with better organization and stronger follow-through.
  • Cross-functional work is easier to track, manage, and improve.
  • AI tools are used in a practical way to support real operational output.

Required Skills

  • 6+ years of experience in operations, business operations, systems operations, project management, or a similar role.
  • 2+ years of management experience, including experience managing team leads, supervisors, or cross-functional teams.
  • Strong hands-on experience with ClickUp.
  • Strong hands-on experience with Make.
  • Practical experience using AI tools such as ChatGPT, Claude, or similar platforms in a professional setting.
  • Proven ability to both manage people and personally execute operational or technical work.
  • Strong systems thinking and process improvement skills.
  • Strong organizational and project ownership ability.
  • Excellent written and verbal communication skills.
  • Comfortable working in a fast-paced environment with shifting priorities.
  • High level of accountability, follow-through, and attention to detail.

Preferred Skills

  • Experience supporting a senior leader, executive, or general manager in a high-responsibility operational role.
  • Experience managing or supporting multiple operational departments.
  • Experience with ActiveSync, support operations, training operations, administrative workflows, or recruitment operations.
  • Experience building dashboards, forms, SOPs, and workflow systems.
  • Exposure to accounting operations or finance-related process coordination.
  • Experience in SaaS, healthcare tech, service operations, or a process-heavy environment.
  • Strong builder mindset with the ability to turn ideas into structured execution.
