Job Description

The DCX Client Services Home-Based Administrative Support role supports a growing U.S.-based client by delivering reliable, detail-oriented administrative and customer service assistance. This position is ideal for someone who is highly organized, proactive, and comfortable handling a variety of day-to-day administrative and coordination tasks.

Daily responsibilities may vary, so flexibility, accuracy, and the ability to follow established processes are essential. You will work closely with internal teams, vendors, and customers to ensure smooth operations and excellent service delivery.

Work Schedule: MondayFriday | 8:00 AM 5:00 PM CST

Employment Type: Full-Time

Salary Range: PHP 35,000

Language Requirement: Very Proficient English (Written & Spoken)

  • Customer Service Excellence: Responds promptly, professionally, and empathetically to customer inquiries. A strong admin anticipates issues, communicates clearly, and ensures customers consistently feel valued and supported.
  • Data Entry & Accuracy: Goes beyond speeddemonstrates careful, detail-oriented work that protects data integrity. Able to spot inconsistencies and correct errors before they become issues.
  • Case Filing & Organization: Maintains well-structured digital and physical records that are easy to access and compliant with company standards. Information can be retrieved quickly when needed.
  • Coordination & Follow-Through: Acts as a central hub for workflowsscheduling meetings, tracking action items, following up with stakeholders, and ensuring nothing falls through the cracks.
  • Problem-Solver: Looks for solutions before escalating issues. Comfortable figuring things out independently, asking thoughtful questions, and escalating only when necessary.
  • Inquisitive & Resourceful: Proactively learns new tools, explores better ways to improve processes, and digs into problems to understand root causesnot just symptoms.
  • Detail-Oriented: Catches small errors others might miss (typos, missing attachments, mismatched dates, incorrect entries) and takes pride in precision.
  • Tech-Savvy: Comfortable working with spreadsheets, CRMs, workflow tools, and communication platforms. Adapts quickly to new software and systems.

Key Responsibilities

  • Oversee clerical tasks such as processing, sorting, and routing incoming and outgoing mail
  • Provide outstanding customer service and maintain strong professional relationships
  • Sort and distribute vendor invoices to billing or accounts payable as needed
  • Manage product ordering and inventory documentation
  • Follow up with vendors to confirm order receipt and delivery timelines
  • Track orders from production through delivery using workflow management systems
  • Manage backorders, including identifying replacements when necessary
  • Take action to help reduce accounts receivable aging
  • Assist clients with general administrative duties
  • Create, update, and maintain accurate records and databases
  • Perform ad hoc administrative tasks as assigned

Additional Job Requirements

Education:

  • Bachelor's degree in Marketing, Business Administration, or a related field (preferred)

Experience:

  • 13 years of experience in Customer Service, Data Entry, Administrative Support, or similar roles

Skills & Competencies:

  • Strong attention to detail and data accuracy
  • Ability to learn company-specific systems quickly
  • Clear, professional communication (internal and external)
  • Excellent time management and prioritization skills
  • Strong sense of accountability and reliability

Software & Tools

  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Google Workspace (Google Sheets, Gmail, etc.)
