Why does this role exist
As a Recruitment Associate - Matcher, you'll be the critical bridge between our client-facing teams and our qualified Executive Assistant talent pool. This role puts you at the center of successful placements, where you'll:
- Partner with Sales, Support, and Customer Success teams to fulfill client EA placement needs
- Search and evaluate qualified candidates against specific client requirements
- Conduct strategic matching interviews to identify perfect client-candidate fits
- Recommend top VA/EA candidates who best match what clients need
- Coordinate seamless intro calls between clients and matched candidates
- Write detailed candidate reports that help clients make confident hiring decisions
- Build lasting partnerships through professional coordination and communication

The Impact you'll make
Finding the Right People
- Receive 3-5 new client placement requests daily from Sales, Support, and Customer Success teams
- Review client requirements and preferences gathered during discovery calls
- Search through Magic's existing list of qualified EA candidates to find strong potential matches
- Analyze candidate profiles against client-specific needs, work style, skills, and availability
- Keep a backup list ready in case your first choices don't work out
- Maintain active pipeline of 15-25 deals weekly with systematic follow-through
Interviewing Candidates
- Conduct 4-6 strategic matching interviews per shift with qualified EA candidates
- Assess candidates against specific client preferences and requirements (not general screening)
- Set up interview times that work for everyone across multiple time zones
- Talk to candidates in final interviews before they meet clients
- Decide if they're ready and a good fit for the specific client opportunity
- Evaluate cultural fit, work style compatibility, and skill alignment with client needs
Making Recommendations & Writing Reports
- Recommend top VA/EA candidates you believe are the best fit for each client's needs
- Write clear, detailed reports about each candidate's strengths and qualifications
- Ensure your reports provide clients with the information needed to make hiring decisions
- Highlight specific examples of why candidates match client requirements
- Make sure all your recommendations meet Magic's quality standards
- Provide professional reasoning for candidate selections
Coordinating Intro Calls & Scheduling
- Coordinate intro calls between clients and matched candidates (8-15 daily)
- Handle complex scheduling logistics including confirmations, rescheduling, and cancellations
- Ensure 85%+ candidate attendance rates through proactive communication and follow-up
- Manage real-time scheduling requests while juggling multiple deals
- Prepare candidates for intro calls with relevant client information
- Track all scheduling activities and communications systematically
Coordinating with Your Team
- Work closely with Sales, Support, and Customer Success teams to understand client needs
- Receive detailed handoffs about client requirements and preferences from discovery calls
- Pass along candidate information to relevant teams for smooth handoffs
- Make sure everyone has what they need for successful placements
- Provide updates on match progress and candidate pipeline status
- Collaborate across teams to resolve any issues or challenges
Client Communication & Relationship Management
- Maintain <1 hour response times during business hours for client communications
- Provide regular updates on match progress and candidate availability
- Address client concerns and adapt matching strategies based on feedback
- Manage client expectations throughout the matching and intro process
- Support smooth onboarding experiences for successful placements
- Build professional relationships focused on client satisfaction and placement success
Meeting Your Targets
- Work toward monthly placement goals and quality metrics
- Handle daily deadlines and targets with consistent performance
- Achieve target conversion rates from match to successful placement
- Make sure all your recommendations meet quality standards (90%+ accuracy)
- Track performance metrics including match quality and client satisfaction
- Maintain high standards while meeting volume requirements

- Help other recruitment team members when needed
- Adjust to changing priorities throughout the day
- Learn different parts of the hiring process and adapt to new procedures
- Handle multiple competing priorities using ATS, HubSpot, and Magic systems simultaneously
- Adapt quickly to evolving client requirements and business needs
- Support various recruitment initiatives beyond core matching responsibilities
Required Experience
- MUST HAVE: 6 months to 2 years of recruitment experience with emphasis on high-volume or BPO hiring (open to fresh graduates with strong communication skills and recruitment internship/OJT background)
- Proven track record in candidate profiling, interviewing, and assessment
- Near-native English proficiency with excellent grammar and pronunciation
- Bachelor's degree in Human Resources, Psychology, or any related field
- Process-oriented mindset that drives consistent, measurable results
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
