The Role

We're seeking a Recruitment Assistant. This role is designed for a highly organized and proactive professional who enjoys supporting recruitment operations, coordinating processes, and working closely with international teams.

You'll play a key role in supporting the Recruitment Leaders and Head of Recruitment by providing operational, administrative, and coordination support throughout the selection process, while recruiters remain the owners and decision-makers of their hiring processes.

Location: Must be in Colombia – Barranquilla, Bogotá and Medellín.

Environment: International Teams.

Language: Advanced English (B2+ - C1).

Timezone: Monday to Friday – Business hours aligned with Colombia and partial overlap with Philippines.

Contract: Non-fixed Term Colombian Contract.

Requirements

Education: Technologist, or Bachelor's degree in Psychology, Business Administration, Human Resources, or related fields.

Experience: 2+ years of experience in recruitment support, HR assistance, talent acquisition operations, or administrative support roles. Experience in BPO, staffing, or IT recruitment environments is a plus.

Responsibilities

  • Provide interview coordination and scheduling support for both candidate and client interviews, including calendar management, sending invites, confirming availability, and ensuring all meeting details are properly shared with candidates, recruiters, and clients — with a strong focus on supporting the Philippines team.
  • Prepare and organize interview logistics such as Teams/Zoom links, time zone validations, interview confirmations, and follow-up reminders to reduce no-shows and scheduling errors.
  • Support recruiters in administrative steps of the selection process, including:
  • Verifying that required documents (CV in DOXA format, audios, tests, etc.) are complete before endorsements.
  • Support documentation and compliance-related tasks such as organizing candidate folders, ensuring interview notes are stored correctly, and helping keep recruitment documentation structured in shared drives.
  • Conduct market research and talent mapping for most hired positions in DOXA Talent:
  • Salary benchmarks by role and seniority.
  • Talent availability in specific locations.
  • Skills trends and in-demand technologies.
  • Competitor hiring activity when relevant.
  • Knowledge of the most effective recruitment tools, sourcing channels, and platforms used in each geographic market (GEO).
  • Build and maintain talent pools and databases to support recruiters with future sourcing needs, organizing candidate information for easier pipeline access.
  • Provide operational support to Recruitment Leaders and the Head of Recruitment through data gathering, report preparation, processing documentation, and follow-up on pending recruitment-related tasks.
  • Help standardize and improve recruitment workflows by identifying repetitive administrative bottlenecks and suggesting efficient improvements.
  • Act as a support point of contact for internal recruitment coordination (not candidate decision-making), helping ensure smooth communication between recruiters, leadership, and international teams.
  • Support post-interview and post-offer administrative follow-ups such as status tracking, documentation reminders, and internal coordination, while final communication and decision ownership remain with the recruiter.
