A. Procurement and Purchasing
- Prepare and process Purchase Requests (PR) and Purchase Orders (PO).
- Source, evaluate, and recommend reliable suppliers and vendors.
- Secure and compare quotations to ensure cost-effective purchasing.
- Negotiate prices, delivery schedules, and payment terms when authorized.
- Coordinate with requesting departments regarding specifications and timelines.
- Monitor delivery of orders and follow up pending purchases.
- Maintain updated supplier accreditation and records.
- Ensure procurement activities comply with school policies and budget controls.
B. Inventory and Asset Management
- Maintain accurate inventory records of supplies, textbooks, equipment, and school property.
- Conduct regular physical inventory (monthly, quarterly, and annual).
- Monitor stock levels and recommend reorder points.
- Implement proper stock rotation (e.g., FIFO where applicable).
- Investigate and report inventory discrepancies or losses.
- Ensure proper labeling, storage, and safekeeping of materials.
- Maintain asset registry and property acknowledgment records.
C. Monitoring and Reporting
- Prepare periodic inventory and procurement reports.
- Track budget utilization for purchases.
- Maintain receiving reports and inspection documents.
- Assist in annual property inventory and audit requirements.
- Submit stock status and procurement updates to the immediate supervisor.
D. Coordination and Compliance
- Coordinate with Accounting for payment processing and documentation.
- Work closely with academic and administrative departments on supply needs.
- Support internal and external audit activities.
- Ensure adherence to DepEd and institutional policies (if applicable).
- Perform other related duties as may be assigned by management.
III. Minimum Qualifications
Education:
Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Accounting, Industrial Engineering, or related field.
Experience:
At least 1–3 years of relevant experience in purchasing, inventory control, warehouse management, or property custodianship. Experience in a school or educational institution is an advantage.
Skills and Competencies:
Proficient in Microsoft Excel and inventory systems; strong attention to detail and organizational skills; good negotiation and communication skills; knowledge of basic accounting and documentation procedures; high level of integrity and accountability.
