About the Role

We are hiring a Property Compliance Administrator who thrives on planning, organisation and process ownership. You will support our property licensing service by managing information from landlords and agents, preparing documentation, and submitting licence applications to local authorities across the UK.

This role suits someone who enjoys creating order, structuring workflows, and ensuring accuracy throughout an endtoend process. You will manage your caseload independently, maintain clear communication, and confidently communicate with landlords, agents, and councils by email, live chat, and, if necessary, by phone.

Work hours: 1:00 PM 10:00 PM PHT

Work set-up: Remote

What you'll do

Data Collection & Organization

  • Gather property and landlord information via email and live chat.
  • Review and verify all required documentation (ownership evidence, tenancy details,
  • floorplans, safety certificates, etc.).
  • Track, organise and follow up on missing or incomplete information.
  • Maintain orderly records using shared systems such as Airtable, Intercom, and Google Drive.

Application Preparation & Submission

  • Complete online license applications across selective, additional and HMO schemes.
  • Upload documentation and ensure consistent file structures.
  • Monitor progress and submit complete applications through council portals.

Communication & Followup

  • Liaise with landlords, letting agents and local authority officers.
  • Build relationships with council licensing teams to ensure smooth application
  • progress.
  • Provide clear, concise responses to queries over email and live chat.
  • Record all updates and case notes accurately.
  • Escalate complex issues where appropriate.

Reporting & Quality Control

  • Maintain accurate logs of inprogress and submitted applications.
  • Conduct presubmission checks to ensure compliance and data quality.
  • Provide weekly progress updates.
  • Suggest improvements to strengthen efficiency and consistency.

What You Bring

  • At least 3 years of experience in operations, administration, customer support, compliance, or a similar process-driven role.
  • Experience in property management, housing, real estate, or local authority processes
  • Exposure to compliance, licensing, or regulated industries
  • Experience working with structured case management, forms, or application-based workflows
  • Strong written English with the ability to communicate clearly by email and live chat
  • High attention to detail and ability to review and verify documents for accuracy
  • Comfortable working with online portals, digital forms, and document management systems
  • Experience using tools such as Google Workspace, Airtable, Intercom, or similar platforms
  • Ability to manage multiple cases at once while meeting deadlines
  • Comfortable following and improving documented processes and workflows
  • Able to work independently in a remote setup with minimal supervision
  • Willingness to learn property licensing rules and regulatory requirements

Preferred if you have:

  • Familiarity with Airtable, Intercom, or Google Workspace.
  • Outstanding organisational and planning capability.
  • Strong attention to detail and accuracy.
  • Excellent written English.
  • Confident communicator by email and live chat
  • Ability to manage multiple cases methodically and independently.
  • Comfortable owning and improving a process from start to finish.
