About the Role

We're looking for a Project Manager to keep the internal engine of REFUGE running smoothly. You'll manage the internal side of client accounts, including setting up structure, keeping deadlines on track, and making sure the team always knows what's next. You'll also help keep our internal team organized, informed, and moving in the same direction, from meeting facilitation to onboarding to documentation.

This is an independent contractor position (not an employee role), paid hourly based on experience. If you're a strong fit, there's real room to grow with us as REFUGE expands including more hours, more accounts, and more responsibility over time.

Your Responsibilities

Project Management & Workflow

  • Set up and maintain project boards in Asana, including tasks, subtasks, assignees, and due dates
  • Manage content calendars end-to-end: import topics, assign team members, and track delivery
  • Run a daily review of project statuses across Asana, Slack, and email; triage and delegate accordingly
  • Identify when timelines are at risk and proactively adjust before deadlines are missed
  • Document workflows and help maintain internal SOPs as processes evolve
  • Support the exploration and adoption of tools that reduce manual, repetitive work (e.g., automation via Asana Rules or Zapier)

Team Coordination & Internal Operations

  • Facilitate recurring team meetings: weekly alignments, knowledge shares, and check-ins
  • Prepare agendas, decks, and meeting materials ahead of time so sessions run efficiently
  • Help onboard new team members by coordinating tool access, account setup, and initial task assignments
  • Support training efforts by creating (or coordinating with the appropriate team member to create) clear documentation or short walkthrough videos (e.g., Loom)
  • Assist leadership with administrative tasks, reporting, and ad hoc operational needs as they arise

Required Qualifications

  • Strong experience and proficiency with Asana, Google Docs, and Slack along with the ability to adapt to new software as needed
  • Experience leveraging AI and automation to improve workflows and efficiency
  • Strong organizational skills: you can manage multiple tasks and deadlines without losing track of any of them
  • Clear, professional written communication including emails, updates, and notes that people actually want to read
  • A proactive mindset: you don't wait to be told something is a problem; you spot it and solve it
  • Ability to work across multiple client accounts simultaneously without losing attention to detail
  • Reliability: you do what you say you'll do, and you let people know early if something changes

Preferred Qualifications

  • Agency experience supporting multiple client accounts at once
  • Experience creating SOPs or internal documentation
  • Familiarity with Zapier or similar workflow automation tools
  • Experience creating training materials or walkthrough videos (e.g., Loom)

The Details

  • Engagement type: Independent contractor / subcontractor: this is not an employee position. You'll be responsible for your own taxes, benefits, and work equipment
  • Hours: Part-time to start, roughly 10-20 hours per week, with availability overlapping US business hours
  • Pay: $8-$16/hour USD, based on experience level
  • Location: Fully remote, open to candidates globally
  • Growth: This role has strong potential to expand in hours and scope as you prove yourself and as REFUGE grows
