Position Title:Project Document Control Offices

Location:Project Site in Sual, Pangasinan (Philippines)

Employment Type:Full-time/Project-Based

Role Description

TheDocument Control Officeris responsible forthe systematic management, control, and administration of all project documentation forthe Pacific Impact Energy Corp. Solar Power Project in Sual, Pangasinan. This role ensures that engineering, procurement, construction, quality, HSE, and contractual documents areproperly reviewed, approved, distributed, and archived in compliance with EPC contract requirements, project procedures, and applicable regulatory and industry standards. The position plays a critical role inmaintainingdocument integrity, traceability, and readiness throughout the project lifecycle,from engineering through construction, commissioning, and close-out.

Key Responsibilities

Document Control, Administrative Supportand Systems Management

  • Establish, implement, andmaintainthe project document control systemin accordance withEPC contract requirements and company procedures.
  • Manage document numbering, revision control, version history, andapprovalworkflows for all project documents.
  • Control the issuance, receipt, and distribution of engineering drawings, technical specifications, calculations, schedules, method statements, and design deliverables.
  • Ensure that only current, approved, and valid documents are circulated to internal teams, contractors, consultants, and relevant stakeholders.
  • Maintainaccuratedocument registers, transmittal logs, and filing systems (both electronic and hard copy), ensuring documents are readily retrievable for audits, inspections, and reporting purposes.
  • Coordinate with project, engineering, construction, and HSE teams to ensuretimelysubmission, review, and archiving of documents related to community engagement, permits, and compliance.

EPC and Technical Documentation

  • Administer EPC-related documents, including engineering deliverables, procurement records (vendor data, material submittals, data sheets), construction documents, and as-built drawings.
  • Coordinate with engineering consultants, EPC contractors, subcontractors, and vendors to ensuretimelysubmission and approval of documents.
  • Track technical submittals, RFIs, shop drawings, and vendor documents, ensuring alignment with project schedules and milestones.

Quality, HSE, and Regulatory Compliance

  • Maintain controlled records for QA/QC documentation, inspection and test plans (ITPs), method statements, NCRs, and compliance records.
  • Manage HSE-related documentation, including permits, safety plans, training records, and incident reports, as required by project procedures.
  • Ensure documentationcomplies withapplicable Philippine regulatory requirements and relevant power and renewable energy standards.

Reporting and Coordination

  • Maintain up-to-date document registers, transmittal logs, and correspondence trackers.
  • Prepare regular document status reports, highlighting outstanding deliverables, approvals, and critical path items.
  • Support internal and external audits, inspections, and lender or owner reviews by ensuring documentation is complete,accurate, and readily retrievable.

Construction, Commissioning, and Close-Out Support

  • Support construction and commissioning teams by ensuring current, approved drawings and documents are available on-site.
  • Coordinate the compilation of turnover dossiers, commissioning records, and final as-built documentation.
  • Manage project close-out documentation, ensuring proper archiving and handover to the Owner or Operations team.

Qualifications and Requirements

  • Bachelor's degree in Engineering, Information Management, Business Administration, Office Administration, or anyrelatedfield.
  • Minimum of 3 years of document control experience, preferably inpowerorrenewableprojects, EPC, or large-scale infrastructure projects.
  • Strong understanding of workflows, engineering deliverables, and construction documentation processes.
  • Proficiencyin MS Office and document management systems; experience with EPC or project-based document control platforms is an advantage.
  • Familiarity withsolarpowerplantor renewable energy documentation, including engineering drawings, vendor data, and as-built records.
  • Excellent organizational skills with high attention to detail and accuracy.
  • Ability to manage large volumes of technical documents in a fast-paced, site-based environment.
  • Strong coordination and communication skills across multidisciplinary teams.
  • High levelof professionalism, confidentiality, and integrity.
