Job Description

As a Project Coordinator, you are the engine that keeps our projects moving. You will support Project Managers by handling the essential day-to-day organization, documentation, and communication required to hit our goals. Your mission is to ensure that timelines are met, resources are allocated, and everyone on the team knows exactly what they need to do next.

Core Responsibilities

  • Schedule Management: Maintain and update project timelines (Gantt charts) to ensure all milestones and deadlines are met on time.
  • Meeting Coordination: Schedule project meetings, prepare agendas, and—most importantly—capture and distribute action items so nothing falls through the cracks.
  • Documentation & Reporting: Organize all project-related files and contracts. Prepare regular status reports to keep stakeholders updated on progress and potential roadblocks.
  • Resource Tracking: Monitor the workload of team members and the availability of materials or software to ensure the team has what it needs to succeed.
  • Communication Hub: Act as a central point of contact for internal teams and external vendors, ensuring clear information flow between all parties.
  • Budget Support: Assist in tracking project expenses and processing invoices to ensure we stay within the approved budget.
