Role Summary
The Project Coordinator is responsible for managing technology projects for clients by managing the resources, time, and scope. You will be responsible for all project communications during the lifecycle of a project and presenting the project vision to our clients. The primary duties include creating and maintaining a project plan that communicates schedules, tasks, budgets, milestone dates, status, resource allocation, and financial results. You will work closely with the Professional Services, Business Transformation, and Service Experience Teams.
Duties and Responsibilities
• Understand and align with overall project objectives, roles, and functions of team members.
• Stay updated on all projects, addressing discrepancies in behavior from agreed expectations.
• Coordinate the delivery and installation of technology, adhering to quality assurance standards.
• Maintain and manage project management documentation, including progress reports, project billings and regular invoicing upon project completion.
• Update clients on project progress and communicate changes or agreed-upon outages.
• Keep all stakeholders informed with regular project communications.
• Participate in client-facing and internal meetings on a regular basis and take meeting minutes as needed.
• Work with procurement to track orders and ensure they arrive in time to complete the project.
• Schedule work across internal Nucleus departments, collaborating with support and other teams. • Audit time sheets for accuracy, reducing monthly billing effort.
• Manage and scrutinize support ticket entries unrelated to projects.
• Coordinate and consolidate post-support incident tickets into associated projects for billing activities.
• Ensure project timelines adhere to budget and schedule; report anomalies or expected delays to the Project Lead.
• Liaise between internal departments for change tasks and post-support coordination.
• Provide monthly billing reports to executives.
• Continuously improve by learning and applying the latest project management best practices and technologies.
• Assist in the project deployment process from a project management perspective.
• Other duties as assigned.
Required Skills and Qualifications
• At least one (1) year of project management experience is required.
• A degree or certification in a related or similar field is an asset.
• A Project Management Professional (PMP) designation is an asset.
• One (1) to two (2) years of industry (MSP) experience is an asset.
• Must have the ability to keep organized, set priorities and urgencies according to the needs of multiple ongoing projects.
• Must be comfortable and can regularly present and host meetings with clients (kickoff meetings with clients).
• Strong verbal and written communication skills are required as the role will work with several stakeholders.
• Understand Agile Scrum methodology.
• Proficiency with the Microsoft Office suite of applications, particularly Excel.
