Job Description

About the Role:

The IT Project Administrator provides administrative, coordination, and reporting support to Product Lead, scrum and delivery teams. This role ensures the team's deliverables are properly documented, tracked, and communicated, helping maintain alignment with timelines, budgets, and governance standards. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced technology environment.

Scope of Work/Responsibilities

Duties and Responsibilities

Project Coordination & Administration

  • Support Product Lead in planning, scheduling, and tracking project activities
  • Maintain project documentation, including project plans, RAID logs (Risks, Assumptions, Issues, Dependencies), and weekly/monthly status reports
  • Coordinate meetings, prepare agendas, and document meeting minutes
  • Updates and maintains the project's workplan / schedule
  • Track action items and follow up with stakeholders to ensure timely completion

Reporting & Governance

  • Prepare and distribute weekly/monthly project status reports
  • Maintain dashboards and project tracking tools
  • Support compliance with PMO standards and governance requirements
  • Assist in budget tracking and resource allocation monitoring

Stakeholder Communication

  • Facilitate communication between technical teams, vendors, and business stakeholders
  • Support onboarding/offboarding of project team members
  • Assist in vendor coordination and documentation management

Tools & Systems Management

  • Maintain project management tools (e.g., MS Project, Azure DevOps, Smartsheet)
  • Ensure proper version control and document repository management
  • Support data entry and reporting accuracy

Requirement and Qualification (Education & Work Experience)

EDUCATION REQUIREMENTS

Bachelor of Science degree in Engineering, Computer Science, or related fields;

Qualifications

  • At least five (5) years of experience in project coordination or IT administration
  • Familiarity with project management methodologies (Agile, Waterfall, Hybrid)
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word)
  • Experience with project management or collaboration tools (Jira, Confluence, MS Project, etc.) Preferably with relevant experience as IT project administrator or coordinator.
  • Proven experience in project planning, risk and issue management, and people management;
  • Basic knowledge of budgeting and financial tracking
  • Ability to manage competing priorities on an ongoing basis, preferably in negotiating priorities and resolving conflicts.

Preferred Qualifications

  • Experience supporting IT or technology transformation projects
  • Understanding of SDLC (Software Development Life Cycle)
  • Exposure to IT project procurement, outsourcing, or vendor management;

Soft skills

  • Getting things done attitude by following through on the assigned tasks with a great deal of autonomy while ensuring achievement of quality results;
  • Relationship management skills (influence, negotiation, consulting, etc.)
  • Capable of working well with teams;
  • Strong analytical, detail-oriented, and creative problem-solving skills
  • Strong written and oral communication skills; and
  • Ability to work within a diverse cultural environment.

Reporting and Coordination

  • For the provision of staff augmentation services, the Agency Personnel will take instructions from the Product Lead at the Information Technology Department at ADB and work closely with the project team, internal and external stakeholders.
  • The Agency Personnel will provide any other services as required by the team and ADB ITD supervisor or user unit.

Work Arrangement

WORK ARRANGEMENT

  • Locally based resource
  • Amenable to report to ADB-HQ as needed.
  • Can work on an extended working hours or during weekends (with corresponding OT pay), even at short notice.
