Job Description

The Business Travel Operations & Conference Meetings and Events Operations Manager oversees daily operations, the end‑to‑end planning, coordination, and execution of corporate travel programs under Travel and Expense (T&E) and business Conference Meetings and Events (CME). This role ensures seamless operational delivery, policy compliance, and outstanding employee experience across all travel- and event‑related activities. The manager act as the key point of contact for all related matters in the region. Supporting AVP, Head of Category Management, the individual collaborates closely with Asia and Global CME and T&E teams to ensure strategic alignment, operational excellence, consistency partners closely with internal stakeholders, external suppliers, and leadership teams to support business objectives.

Responsibilities - CME Ops

. The individual serves as both the Process Owner and Business Owner for all Conference Meetings and Events (CME) operations across Asia, overseeing and managing all related activities and ensuring efficient execution across regional markets.

. The individual manages the Cvent platform for Asia, ensuring seamless coordination with business units for accurate and timely data input. They are responsible for maintaining data integrity across the system, generating and analyzing reports to support strategic decision-making, and identifying opportunities for process optimization. As subject matter experts, they also provide guidance on platform usage, troubleshoot issues, and collaborate with stakeholders to enhance user experience and operational efficiency.

. Key contact for Asia and lead regular meetings with North America CME Ops team

. The individual provides escalation support for Meeting Owner Requests (MOR) when

planners are unresponsive to MeetSmart communications or actions. This includes monitoring planner engagement, identifying gaps in responsiveness, and proactively coordinating with relevant stakeholders to resolve issues and ensure timely processing of meeting requests. They act as a liaison between MeetSmart and the business units, helping to maintain operational continuity and uphold service standards.

. Escalation support for budget non-compliance

. The individual acts as a key liaison between APAC meeting planners and North America (NA) procurement, demonstrating strong interpersonal and facilitation skills to ensure smooth coordination and communication. They address inquiries from APAC teams regarding Cvent services, proactively relay training requests, and facilitate discussions to clarify platform capabilities. When changes to Cvent usage are anticipated, they promptly inform NA procurement to help manage the volume of pre-purchased registrations, ensuring alignment and minimizing operational disruptions across regions. . The individual serves as a subject matter expert in the Meetings & Events (M&E) process within the Cvent platform across all Asia markets. They play a critical role in assessing and articulating the current workflows, especially in the context of ongoing platform renewals and process reviews. Leveraging deep operational knowledge and cross-market insights, they provide strategic guidance to ensure consistency, compliance, and optimization of Cvent usage, while identifying areas for improvement and aligning regional practices with global standards.

. The individual partners closely with Procurement Leaders to analyze market dynamics and develop tailored country-level strategies for Conference Meetings & Events (CME) operations across Asia. Leveraging deep operational knowledge and strategic insight, they drive execution of CME initiatives, ensuring alignment with business objectives and procurement goals. Their role requires strong collaboration, influence, and stakeholder engagement to deliver consistent, high-impact outcomes across diverse markets

Responsibilities - Regional Travel Ops

. The individual serves as both the Process Owner and Business Owner for Regional Travel Operations across all Asia markets, overseeing end-to-end travel management and ensuring strategic alignment with business and procurement objectives. In addition to driving operational efficiency and compliance, they coordinate business travel reporting with a strong focus on data accuracy and actionable insights. Leveraging advanced analytical skills, they interpret travel data to identify trends, optimize spending, and support strategic decision-making. Their role includes developing reporting frameworks, collaborating with stakeholders to refine metrics, and presenting findings that inform policy updates and operational improvements across the region.

. Oversee day‑to‑day travel operations for employees, including flight, hotel, ground transportation, and visa arrangements.

. Conducts performance review with travel management companies (TMCs) in Asia, plan for Quarterly Business Review, and lead performance improvement discussion with TMCs

. Implement and manage corporate travel policies, ensuring compliance and traveler safety.

. Prepare reports, and present insights for leadership decision-making. . Implement best practices, technology solutions, and streamlined workflows to enhance

the traveler and event‑participant experience. . Continuously review processes to improve efficiency, scalability, and quality of service. . Lead relationships and manage travel management companies (TMCs), airlines, hotels,

and other suppliers and work closely with Asia Category Sourcing Team to negotiate competitive rates and service levels.

. Monitor travel data, trends, and costs to drive continuous improvement and cost-efficiency.

. Develop traveler communications, guidelines, and support materials.

local Travel Management Company

Procurement Lead

. Ensure compliance with corporate travel policy, safety protocols, and duty-of-care

standards.

. Maintain up‑to‑date knowledge of global travel risks, regulations, and industry best practices.

. Coordinate with risk management, HR, and security teams to support traveler safety and emergency response plans.

Job Requirements:

. Bachelor's degree in Business, Finance, Procurement, or related field Master's is a plus

. 5-7 years of experience in meetings/events operations, travel management, or procurement in a regional/global organization

. Experience with platforms like Cvent, Concur, and working with Travel Management Companies (TMCs)

. Familiarity with procurement systems and travel operations platforms

. Strong data analysis and reporting skills advanced proficiency in Excel and PowerPoint

. Proven ability to manage and improve end-to-end processes for events and travel

. Skilled in project management, policy execution, compliance, and issue resolution

. Experience working across Asia markets and collaborating with global teams

. Strong communication and stakeholder engagement skills across all levels

. Ability to lead cross-functional meetings, facilitate training, and support platform adoption

. Collaborative mindset with internal teams and external partners
