Role

The Podcast Specialist is a results-driven rockstar responsible for elevating client visibility by pitching and securing high-impact podcast interviews. This role is not just about sending emails; it is about the thrill of the landturning outreach into confirmed calendar bookings on shows that move the needle for our clients. You will serve as the bridge between our heart-centered leaders and the world's top podcast hosts.

Responsibilities

  • Strategic Pitching: Develop and send compelling, personalized pitches that sell the client's story. You must understand the difference between sending an email and securing a placement.
  • Research & Alignment: Identify and vet podcasts that align perfectly with each client's niche and audience. You ensure we are pitching shows that are actually worth the client's time.
  • High-Touch Booking: Manage the end-to-end booking process, from the initial Yes to a confirmed calendar invite, ensuring all interview prep materials are delivered.
  • Tracking & Admin: Maintain impeccable records of outreach, follow-ups, and status updates using Excel, Airtable, and internal forms.
  • Rapid Communication: Maintain a fast turnaround on all host and team communications via Slack and email.
  • Relationship Building: Cultivate long-term relationships with podcast hosts and bookers to create recurring opportunities for the PFG roster.
  • Team Collaboration: Work closely with our all-female team to ensure media appearances align with broader campaign timelines.

Results

  • Booking Efficiency: Successfully turn outreach into confirmed bookings at a high conversion rate; success is measured by landed interviews, not just volume of emails sent.
  • Show Alignment: 100% of secured interviews are on relevant, high-quality podcasts that match the client's heart-centered mission.
  • Operational Precision: Outreach tracking is 100% accurate and updated in real-time, resulting in zero lost leads or scheduling conflicts.
  • Responsiveness: Maintain a fast turnaround culture, responding to all host inquiries and team messages within 24 hours (or sooner).
  • Accountability: Consistently hit agreed-upon booking targets tailored to the client's specific subscription and niche.

Requirements

  • Experience: Proven experience in podcast booking, PR, or marketing outreach is required. You must have a track record of researching and landing guests on podcasts.
  • Communication: Fluent English (written and verbal) with the ability to write hooky pitches that stand out in a crowded inbox.
  • Follow-Through: Exceptional hunter instinct with impeccable follow-through skills. You take pride in closing the loop on every lead.
  • Detail-Oriented: You are not lazy about the detailsyou double-check time zones, links, and show notes before they reach the client.
  • Technical Savvy: Proficiency in Excel/Google Sheets.
  • Bonus points for: Slack, AirTable, ListenNotes, and PodMatch.
  • Mindset: You are a self-starter who loves making connections and finds the idea of PR exciting. You thrive in a collaborative, female-led environment.
  • Availability: Ready to start immediately.
