What We're Looking For
A highly dependable Personal Assistant who can support a fast-paced executive with exceptional responsiveness, strong judgment, and the ability to manage personal, household, and travel-related tasks across time zones. This role requires someone who is comfortable with irregular hours, urgent requests, and long-term, trust-based partnership.
Responsibilities
Manage a wide range of personal and household-related tasks, including scheduling, family coordination, personal appointments, errands, and buying gifts.
Coordinate communication with the household team (household manager, nannies, cleaning staff) and ensure smooth day-to-day operations.
Provide high-responsiveness support for urgent matters, including evenings, weekends, and off-hours requests, while maintaining regular day-to-day availability.
Support travel arrangements, logistical planning, and event coordination; ensure itineraries, bookings, and personal requirements are organized and updated.
Serve as the primary point of contact for the executive while he travels between locations, ensuring timely follow-ups and proactive problem-solving.
Maintain confidentiality, professionalism, and strong judgment when handling sensitive personal and family information.
Requirements
3-5 years proven experience as a Personal Assistant or Executive/Administrative Assistant supporting a high-demand individual.
High stress tolerance, excellent responsiveness, and the ability to manage unpredictable workflows and urgent requests.
Ability to work irregular hours, including availability for evenings, weekends, and urgent off-schedule requests is non-negotiable.
Strong English communication skills; additional language skills are an asset.
Tech-savvy with the ability to coordinate across messaging apps, calendars, online platforms, and household communication channels.
Comfortable working remotely and supporting someone based primarily in a European time zone.
High degree of empathy, trustworthiness, and discretion.
