Your Role:

Job Summary

As a People Services Specialist, you will be responsible for executing key HR operational services, including employee onboarding, records management, offboarding, and providing administrative support in employee discipline and grievance processes. Reporting to the Head of Shared Services or a People Services Manager/Officer you will ensure consistent, high-quality service delivery, adherence to company policies and local legal requirements, and contribute to a positive employee experience.

Key Responsibilities and Accountabilities

Employee Onboarding:
  • Manage and execute the end-to-end employee onboarding process, including preparing new hire documentation, coordinating pre-boarding requirements, conducting onboarding sessions, and ensuring system updates.
  • Ensure a smooth and positive onboarding experience for new hires.

Employee Records Management:
  • Maintain accurate, confidential, and compliant employee records (both physical and digital) in accordance with local labor laws and company requirements.
  • Process employee data changes and updates accurately and efficiently in the HRIS system.
  • Ensure the integrity and security of all employee information.

Employee Offboarding:
  • Execute the employee offboarding process, including preparing separation documents, coordinating exit interviews, processing final pay requirements, and ensuring system updates.
  • Ensure a smooth and compliant offboarding experience for departing employees.

Employee Discipline and Grievance Support:
  • Provide administrative support in the employee discipline process, including preparing documentation, scheduling meetings, and maintaining accurate records.
  • Assist in the initial stages of grievance handling by receiving complaints, gathering relevant information, and routing them appropriately.
  • Drafting of notices, memoranda and/or minutes of discussion

Service Delivery and Employee Support:
  • Serve as a primary point of contact for employee inquiries related to onboarding, records, offboarding, and basic policy questions.
  • Provide timely and accurate responses to employee requests and concerns via email, phone, or in person.
  • Escalate complex issues to the People Services Manager/Supervisor or other relevant People team members.

Process Adherence and Improvement:
  • Follow established Standard Operating Procedures (SOPs) for all People Services tasks.
  • Identify opportunities to streamline routine processes and provide feedback for potential improvements.
  • Utilize HRIS systems effectively for data management and process execution.

Compliance and Accuracy:
  • Ensure all People Services activities are conducted in compliance with local labor laws and company policies in the Philippines.
  • Maintain a high level of accuracy in all data entry and documentation.
  • Participate in audits and data checks as required.

Collaboration:
  • Work closely with other members of the People team (e.g., Talent Acquisition, HR Business Partners) to ensure a seamless employee experience.
  • Collaborate with other departments as needed for efficient process execution.

Qualifications:
  • 1+ years of experience in HR administration, HR operations, or a similar administrative role. Fresh graduates with strong academic performance and a keen interest in HR operations may also be considered.
  • Basic understanding of HR principles and practices.
  • Familiarity with Philippine labor laws and regulations is an advantage.
  • Excellent organizational skills, attention to detail, and a strong focus on accuracy.
  • Strong communication (written and verbal) and interpersonal skills, with the ability to interact professionally with employees.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Experience working with HRIS systems (e.g., Workday, SAP SuccessFactors, local HRIS systems) is a plus.
  • Ability to handle confidential information with discretion and integrity.
  • Strong work ethic and a commitment to providing excellent service.
