We are seeking a detail-oriented and proactive Payroll Administrator to join our HR Shared Services team. The ideal candidate will be responsible for managing employee timekeeping-related data and ensuring seamless payroll processing to support our organization's workforce. This role requires a strong understanding of payroll systems, attention to detail, and effective communication skills to resolve inquiries related to timekeeping and payroll.

Primary Duties & Responsibilities

  • Process employee timekeeping-related data changes, coordinate data entry into third party systems where not automated
  • Convert source timekeeping data into upload-ready files, upload / assist in the upload of timekeeping files into the payroll system,
  • Create/update process related documentations, resolve errors related to timekeeping
  • Conduct data quality reviews, monitor and correct processing errors, maintain employee files and records to meet timekeeping requirements
  • Use procedures, policy manuals, knowledge management, and other reference materials to assist in answering and resolving employee/manager timekeeping inquiries / concerns
  • Communicate Human Resources and other related, policies, procedures, and government regulations, including proper utilization of the HR Shared Service Center (HR SSC)
  • Provides process and functional expertise for maintaining the Immedis payroll employee data
  • Works closely with the Payroll Services Group & HRDSC on overall payroll processing
  • Processes spreadsheet loader for mass updates to Immedis for non-Workday compensation and allowances
  • Processes data entry for pay impacting issues requiring manual adjustments
  • Enter all master data and payroll data required for any off-cycle check payments
  • Correct overpayments and under payments where required by direct input to the Immedis Payroll system
  • Provide support and ensure timely entry of data for payroll cycles
  • Provide support to broader HRSC with payroll functional expertise
  • Support special projects impacting payroll as needed (harmonization, frequency changes etc)
  • Supports the year-end processes
  • Analyzes implications of pre go live retro-active payroll adjustments and makes necessary updates in the system
  • Supporting ongoing data audit process
  • Ensure payroll processes are executed in a compliant manner

Education & Experience

  • Education Background: Associate or Bachelor's degree in Business Administration, Human Resources, Engineering or equivalent combination of education
  • Timekeeping and Payroll Administration Experience: Minimum 3 year experience in timekeeping and payroll administration. Working knowledge of end-to-end payroll procedures and other pay-impacting processes is strongly preferred
  • HR or Related System Experience: Proficient in using various systems, including Workforce Dimensions, Kronos/ADP E-Time, ServiceNow, Workday, Cloud Pay, SAP, and UKG Payroll.
  • Other Related Experience: Experience in a call center or shared services environment is preferred.

  • Working Knowledge and Experience: Familiarity with year-end processes, payroll close, GL reconciliation, recalls, reversals, and overpayments. Knowledge of HR policies, practices, and procedures is preferred.
  • Attention to detail, ability to work independently, ability to handle confidential and sensitive information and strong communication in English
  • Ability to work with confidential and sensitive material
  • Able to work with a high degree of accuracy, often in time-critical situations
  • Effective communication skills to work with all levels of employees to explain programs and resolve problems

Preferred

  • Strong knowledge of Human Resources regulatory and statutory requirements desirable
  • Experience working with third party vendors / outsourcers desirable
  • Experience working with HR information systems / technology applications desirable
  • Experience with handling various international payrolls highly desirable. Preferably with strong background on Asia Pacific Payrolls
