JOB TITLE: Part-time Network Operations Lead

Working Hours :
- 9 AM - 1 PM Eastern time NY
- Expanded schedule: 9 AM - 3 PM Eastern time NY
- Must overlap with US Eastern Time and be available for live event coordination
JOB OVERVIEW:
The Client's company is a distinguished membership community of trusted advisors, CEOs and investors within the lower-middle-market M&A ecosystem. We are seeking a Network Operations Lead to run day-to-day execution and ensure priorities turn into completed work without the Founder having to chase tasks.
This is a US-member-facing role. The ideal candidate is a proactive, self-starting operator who can coordinate events/roundtables, manage follow-ups, keep the team accountable, and maintain clean systems using Zoho CRM and Zoho Connect.
JOB ROLE & RESPONSIBILITIES:
Execution & Weekly Cadence
- Run a weekly planning meeting with the Founder and publish weekly priorities (top outcomes, deadlines, owners).
- Keep the master planner/tracker up to date and make sure everyone uses it as the main place to track what's happening.
- Proactively follow up on deliverables and keep projects moving to done.
- Create a clear escalation system (what needs approval, what can be executed independently, what is blocked).
Member / Speaker Communications (US-facing)
- Coordinate speakers and member communications: scheduling, confirmations, agendas, reminders, and post-event follow-up.
- Ensure communications are accurate and polished (correct audience/segment, correct date/time, correct links).
- Implement QA/approval gates so member-facing mistakes do not recur.
Event Operations
- Own end-to-end logistics for weekly/bi-weekly/monthly roundtables/masterminds/CEO Forums:
- invite workflow, registration tracking, reminders, attendee lists
- run-of-show and execution checklists
- post-event recap + next-step follow-ups
- Maintain a speaker pipeline:
- outreach follow-ups confirm speaker form reminders day-of run-of-show.
Team Coordination (Manage contractors/VAs)
- Direct and manage existing contractors/VAs: assign tasks, set deadlines, QA output, and ensure standards are met.
- Enforce communication norms: updates in the correct channel, clear documentation, no hidden work.
- Coach and correct quickly; recommend replacement when performance is not meeting standards.
CRM Management + Reporting
- Maintain hygiene in CRM (contacts, member/prospect status, notes, next steps, event attendance, follow-ups).
- Ensure the tracker and CRM match reality (no confirmed items being reported as unavailable, etc.).
- Provide a weekly Scoreboard update (5 key numbers): registrants, attendees, calls booked/applications, new members, renewals/churn (or closest proxy).
SOPs / Templates / Quality Control
- Build and maintain simple SOPs and templates for recurring workflows (events, follow-up, onboarding, reporting).
- Maintain a pre-send checklist for all outbound comms (audience, date/time, links, formatting, approvals).
- Introduce error-proofing systems: permission controls, approval workflows, and checklists.
JOB REQUIREMENTS:
- 5+ years experience in Operations, Project Management, Executive/Client Operations, or Program Management (agency, events/community, professional services, membership orgs, or similar)
- Fluent spoken and written English with confidence interacting professionally with US-based advisors/investors/CEOs
- Proven operator: anticipates needs, proposes solutions, and follows through without hand-holding
- Strong comfort working inside Zoho (required); willingness to become a power user quickly (CRM + workflows)
- Excellent organization, prioritization, and documentation skills (SOP/checklist mindset)
- Calm, reliable, and comfortable holding people accountable to deadlines and standards
- Experience managing remote contractors/VAs (strong plus)
- Experience with event logistics, ticketing/RSVP tools, email/SMS platforms (plus)
