Part-Time Administrative Assistant

Job Type: Part-Time (20 hours per week)

Work Hours: Monday to Friday, 9:00 AM to 1:00 PM Pacific Time

Salary: $500

Job Overview:

We are seeking a detail-oriented Executive Assistant to support day-to-day operations, client communication, and basic financial tracking. This role involves managing correspondence, coordinating schedules, organizing documents, and assisting with bookkeeping tasks. The ideal candidate is organized, proactive, and comfortable working with multiple tools and platforms.

Key Responsibilities:

  • Manage all incoming and outgoing client correspondence across email, calendar invites, and messaging platforms (including WhatsApp)
  • Coordinate and schedule meetings, including sending and managing calendar invitations
  • Follow up with clients and internal teams to ensure timely communication and task completion
  • Organize, manage, and maintain files and documents in Dropbox
  • Assist with QuickBooks Online tasks and support financial tracking
  • Provide basic bookkeeping support, including expense tracking and invoicing
  • Maintain accurate records and ensure all documentation is up to date

Required Skills & Qualifications:

  • Proven experience in an administrative or support role
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Experience with QuickBooks Online or similar accounting software
  • Basic bookkeeping knowledge (expense tracking, invoicing)
  • Proficiency in Google Workspace or Microsoft Office tools
  • Experience with file management systems such as Dropbox
  • Ability to multitask and work in a fast-paced environment
  • High attention to detail and accuracy

Preferred Qualifications:

  • Experience with Revit
  • Familiarity with Adobe Acrobat
