The Opportunity at a Glance
Join a growing business in the construction and trades industry, delivering residential and small-scale commercial projects in a fast-paced, project-driven environment. This role is the backbone of operations—focused on quoting, scheduling, supplier coordination, and administrative support, ensuring projects are organized, on track, and running efficiently.
You'll work directly with the Director, taking ownership of day-to-day operations while helping introduce structure, systems, and scalable processes as the business grows. This is ideal for someone who is strong on admin, highly organized, and confident working independently—not just following instructions but improving how things are done.
How You'll Make an Impact
- Prepare and manage project quotes using structured templates
- Input project data accurately and ensure quotes align with scope and pricing requirements
- Manage job scheduling and coordination across multiple projects
- Liaise with subcontractors, suppliers, and stakeholders to ensure smooth delivery
- Coordinate materials, bookings, and timelines for projects
- Maintain clear communication with clients regarding job status and updates
- Track project progress using tools like Trello or similar systems
- Support invoicing, payment tracking, and financial admin using Xero
- Maintain accurate records and documentation across all jobs
- Identify inefficiencies and implement improvements to workflows and processes
- Develop and document SOPs and operational systems
- Support the Director in building a more structured and scalable operations function
What We're Looking For - You're the Perfect Fit if You:
- Are based in the Philippines
- Have proven experience in operations, admin, or coordination roles within: Construction, Trades, Project-based environments
- Have experience with:
Quoting or estimation (using templates or structured systems)
Scheduling and job coordination
- Are highly organised with strong attention to detail
- Are confident working independently and taking ownership of tasks
- Have strong communication skills and can coordinate across:
Clients
Suppliers
Subcontractors
- Are proactive and able to improve processes—not just follow them
What Sets You Apart - You'll Shine Even Brighter With:
- Experience using Xero for invoicing and financial tracking
- Experience with Trello, Procore, or similar job management tools
- Exposure to construction drawings or project documentation
- Experience building SOPs and improving workflows
- Background in contracts administration or project coordination
Work Schedule & Employment Terms
- Full-Time | Monday to Friday | 6:00 AM - 3:00 PM PHT
- Remote work setup
- Open to PH-based applicants only
- Philippine-based employment only
